Job Description Summary
Under limited supervision, ensures appropriate scheduling for academic and research meeting space for curriculum, exams, and thesis defense within a complex tiered allocation context. Works closely with Director, Scheduling & Event Services and with service providers, building administrators, security teams, and others to ensure that appropriate staff and resources are represented. Negotiates space and resource conflicts compliant with pertinent policies. Provides continuous review of procedures and practices to promote and maintain quality, effectiveness, and commitment to best practices. Coordinates active users through scheduling system problems within Penn Medicine. Tracks anomalies and review issues with EMS Functional Administrator and serves as help desk support to EMS users. Co-trains new EMS users and existing EMS users on new EMS upgrades. Mentors Schedulers and maintains training of Scheduling Coordinator. This position requires a proactive thinker who is able to: 1) identify special/unique needs for curriculum, seminar series, research meetings, Grand Rounds, VIP Events, and more; 2) determine appropriate course(s) of action when faced with unusual requirements; and 3) productively liaise with cross-functional and/or inter-entity groups. Reviews requests and reservations entered by Scheduling Staff for compliance, completeness, accuracy, and appropriateness. Alerts Director to changes in usage trends. Conducts daily resource meeting ensuring all correct resources are scheduled for each support group. Probes for inconsistencies and anomalies and provides corrective measures, alerting Director. Conducts and coordinates complex walkthroughs with stakeholders to familiarize them with PSOM public spaces, associated services provided with each space, and definitions of acceptable use of the space. Creates queries and reports from request and reservation databases. Ensures timely cost recovery. This position is considered "essential."

Job Description

A Bachelor's Degree and 3 years to 5 years of experience, or equivalent combination of education and experience, are required. Experience in event and/or classroom scheduling in an academic environment. Proven customer service track record. Must be able to work with a broad constituency within and outside of Perelman School of Medicine while maintaining compliance and consistency with policy and procedure. Must possess the ability to identify, understand, and solve diverse problems. Must be able to work odd hours, sometimes with little notice. CMP, hospitality and/or logistics background a plus.



SPECIAL REQUIREMENTS:


The Perelman School of Medicine is a multi-building research and teaching complex with emphasis on biomedical research. As such, and to ensure successful fulfillment of its mission (research and education), the School Community requires a much higher level of support service delivery than usually experienced in a typical academic environment. Problems that would be mere annoyances in some facilities have the potential of destroying thousands of dollars and months or years of often-irreplaceable work. The Department of Space Planning & Operations is responsible for coordinating and assuring uninterrupted delivery of the necessary utility and other support services.
