Serve as primary point person in Biomedical Graduate Studies (BGS) for student career development activities, alumni information, and program publicity. Work closely with faculty, staff, and students throughout the program on various career development initiatives, including organizing and promoting workshops, seminars, and other events; collecting and disseminating resource information; researching and writing career development blog posts; and managing the career calendar. Staff periodic meetings with students representing a variety of student-run groups to organize and promote career-development activities. Manage alumni records, including updates in Career Tracker and other repositories. Assist with projects organized with Development and Alumni Relations, including publicity, events, and newsletters. Manage logistics of internal fellowship nomination processes, e.g., Gilliam, Blavatnik, Presidential Fellows. Provide support for student hardware and software purchasing and license assignments. Handle general publicity for office, including social media, calendar system, and aspects of website development and content. Report to the Administrative Director and work closely with the Director of Training Support and Career Development and other program leaders.
Manage BGS social media, calendar, and notifications: develop content and make regular updates to BGS Twitter and LinkedIn accounts; prepare weekly email bulletin for students with notifications and upcoming opportunities; post other notifications to the student email lists as needed; post BGS events on the PSOM screens in Carousel; manage the BGS calendar in LiveWhale, and help manage graduate group-level information and postings.
Organize BGS-wide events and activities for student career development, including panel sessions, seminars, and symposia. Work with graduate groups, student groups, training grants and other associated entities to organize career development events. Schedule and staff periodic meetings of student group leaders to organize career development activities and information.
Contribute to program-wide website management in MODX and take lead on managing specific components, including news items and calendar information. Periodically check all pages to ensure content is up-to-date. Assist other staff, including graduate group coordinators, with their websites. Consult with DART Web Team as needed.
Organize activities with alumni, including anniversary events and other gatherings; connect alumni with current students for mentoring through events and videos featuring alumni in various career paths; work with graduate group leaders to organize group-level alumni events; work with PSOM Office of Development and Alumni Relations to organize events, communications, and meetings with alumni.
Manage updates of BGS alumni contact information and career outcomes in Career Tracker database; oversee and train other CT users; query the Data Warehouse CT universe to analyze outcomes. Manage alumni outreach by administering periodic Qualtrics survey, update form on website, emailings, alumni LinkedIn group, etc. Link CT alumni data to program specific job categories for outcomes analyses.
Serve as BGS liaison with Career Services to organize Annual Biomedical Career Fair and other career-focused activities; promote opportunities afforded by other campus entities for student career development, including the Center for Teaching and Learning, Penn Center for Innovation, and the like. Encourage students to sign up for Handshake and refer job openings for Handshake.
Manage career development website, blog, and calendar, including activities and events developed outside of BGS as well as those organized by BGS. Subscribe to feeds & perform weekly checks of relevant sites for blog and calendar content; solicit blog ideas from graduate groups and student groups; write blog content and tag entries to career categories.
Support processes for student internal student fellowship nominations (e.g., Gilliam, Schmidt, Presidential Fellowships, Blavatniks): create timeline, distribute announcements to eligible students and advisors; gather materials; schedule selection committee meetings; follow up on decisions. As needed, coordinate program related data for funders.
Organize processes for distributing laptops to new students and software for all students: Working with DART and students, devise announcements, create student surveys, arrange for payments with finance office, coordinate distribution of DART-imaged laptops to students, manage distribution of software licenses to students (Adobe Creative Cloud, Prism, Stata, etc.)
Periodically update and publish the BGS brochure, designed for student recruitment: update text and images, working with graduate groups; coordinate use in recruitment events, mailings, and PDFs on webpages.
