The Marketing Coordinator role will assist with project organization, facilitation and office specific duties. As the team grows in number and responsibility, we need an organized, proactive, and hands-on individual to provide marketing coordinator support. Areas of responsibility will include but are not limited, assisting with managing contracts and budgets, and providing coordination between marketing and various stakeholders. Also, this position will provide administrative support to our Chief Marketing Officer as well as oversee Chicago office management including ordering supplies, snacks, beverages, meeting lunches, coordinating with administrative staff, and overall office needs.
What you'll be doing:
Coordinating marketing projects between the marketing team, third party vendors, and internal stakeholders to ensure timelines are met. Examples include managing timelines for digital asset creation, ensuring supplies and swag are sent to trade and partner shows, and coordinating team meetings
Supporting the social media team by getting approvals and scheduling posts
Managing projects in our online project management system
Coordinating light administrative support for leadership team members
Assisting with budget management, vendor approvals, and contracts
Managing Chief Marketing Officer's calendar, travel, and expenses
Managing executive team and visitors to the office
Ordering office snacks, beverages and occasional meeting lunches
Coordinating new hires to be onboarded including setting up key badges
Communicate with building landlords on company needs and news
What we're looking for:
Prior experience as a marketing coordinator
Organized, proactive, and strong communication skills
Experience with Marketing campaigns and events
Must have superior communication skills, both written and verbal
Must be highly organized and self-motivated with a sense of urgency
Strong independent project management skills and platforms such as Wrike
Team player; willing to pitch in on a variety of projects
Capable of handling multiple tasks with competing priorities under minimal supervision
Must be detail oriented
