The Department of Office of Academic Enhancement (OAE) has an exciting job opportunity for a Manager, Business Operations to work at the Coral Gables Campus.

General Description (Purpose and Function):

The OAE Manager, Business Operations will assist the Executive Director of the OAE, Prestigious Awards and Fellowship Director (PAF), Programs of Academic Excellence (PAE) Director and Academic Initiatives (AI) Director with the coordination, follow-through, and resolution of confidential and complex Business Operations, Planning and Projects. The Manager is the primary liaison between internal and external departments and outside vendors. This position provides administrative and analytical support for the activities of the Division. The Manager will be responsible overseeing the coordination of business operations in the Office of Academic Enhancement. They will direct the work of designated and non-designated employees throughout the division. They will make Business Operations decisions in consultation with PAE, PAF and AI Directors in the Executive Director's absence.

Primary Duties and Responsibilities:

Business Operations, Planning and Personnel Management:

  • Improve operational effectiveness by streamlining business process, work processes, procedures, and improving information transfer between internal departments.

  • Actively participate in helping internal units work more efficiently and productively.

  • Help facilitate division wide goals by taking part in strategic planning initiatives and aligning strategies with internal resources.

  • Manage the day-to-day physical operation for OAE by managing the division's logistical requirements. This includes directly managing, training, coaching, and the performance evaluation of staff and student employees.

  • Contribute ideas to department leadership on operational plans within OAE departments.

  • Facilitate a work environment/culture that allows all employees to reach their full potential.

  • Play a pivotal role in the overall orientation process at the department level for new employees.

  • Contribute to the overall strategic plan for the Office of Academic Enhancement.

  • Serve as liaison with other, related University offices or departments including but not limited to, Technical Operations, Telecom, Information Technology, Facilities as well as Space Management, Student Affairs, Finance, Human Resources, Learning Commons, and Library Administration.

  • Responsible for updates, changes and updating of events on OAE website.

  • Help Coordinate OAE social media.

The Manager is the primary liaison between the Office of Academic Enhancement functional areas and HR to ensure that policies are effectively maintained.

  • Partner with Human Resources on personnel actions including the coordination of departmental leaves of absence, hiring and onboarding, separations, and position changes.

  • Serve as Business Process Initiator in Workday; responsible for initiating confidential Human Resources transactions. Manage student employee hiring and assignments.

  • Interviews perspective employees seeking employment within the department and provides recommendation to administrative leadership.

Strategic Initiatives and Budget:

  • Strategically support and direct the alignment of Division initiatives with University-wide goals that will improve the efficiency and productivity of the Office of Academic Enhancement functions.

  • Enhance plans to reduce overall business costs.

  • Play a pivotal role in cost-based management of the division by working side by side with the central budget office to ensure that budgets are effectively maintained, and budget requests are input into budget preparation system.

  • Conduct financial and planning analyses for all department budgets including preparing and updating long range financial projections as well as submit quarterly variance report for all department budgets and gift accounts.

  • Track additional expenditures such as Foote Fellow's expenses and Stamps Enrichment funds.

  • Work with Directors of each OAE area to track individual budgets and variances.

Student Activities:

  • When needed triage academic, career and administrative concerns, making appropriate referrals and conducting follow-ups to ensure resolution. Document student information including meeting topics, feedback on student progress.

  • Assist with all aspects of programming including creation, implementation, evaluation and revision as necessary for all OAE events.

Knowledge, Skills, and Abilities:

  • Excellent verbal, written and presentation skills. Ability to communicate effectively with all levels of the organization.

  • Ability to manage conflicting priorities and varying deadlines.

  • Ability to influence decision making.

  • Ability to lead projects independently from concept to implementation.

Education Requirements (Essential Requirements):

  • Bachelor's Degree in Business, or other related business-oriented discipline.

  • Master's Degree is preferred.

Work Experience Requirements (Essential Requirements):

  • Three years' experience in administration and operations.

  • Equivalent combinations of education/experience may be considered.
