We are one of the largest providers of services to families and individuals experiencing homelessness in the Greater New York area, serving survivors of domestic violence, people living with HIV/AIDS, veterans, and others who have behavioral health or substance use needs. Many of VOA-Greater New York’s programs are nationally recognized and meet the rigorous standards of accrediting bodies CARF, COA and the NAEYC.

Position: Purchasing Accountant (FIN329)


The Purchasing Accountant assists in the administration of the Purchase Order system , Fixed Assets system, and provides user support. Â S/he acts as a purchasing liaison between programs and Finance to promote efficient and timely resolution of purchasing issue s . S/he works with the Purchasing Manager to establish and achieve departmenta l goals in accordance with agency standards and timelines.
Minimum Qualifications:
Bachelo r ' s degree with at least two years of related experience or equivalent combination of education and experience. Ability to communicate effectively , including in writing. Strong computer skills are required, including Excel.
Supervisory Role:
This position does not have supervisory responsibilities.
Principal Responsibilities:
The below enumerated principal responsibilities are inclusive of both program specific and firm-wide related administration, as applicable.

  • Provide both technical and procedura l support to agency users for PO system.
  • Coordinate technical issues , fixes , and enhancements with PO system provider. Become a â€super user†and teacher.
  • Monitor program purchasing , advise purchasers of proper vendors , pricing and purchasing practices.
  • Assist in the administration of major accounts such as Home Depot, FedEx , Fleet Enterprise, and Wex Bank , including online purchasing systems and departmental invoicing.
  • Obtain invoice statements from vendors monthly and ensure accuracy.
  • Conduct quarterly program site visits and audits of Petty Cash, Metro Cards, van logbooks, etc.
  • Facilitate business office reconciliation of purchasing and fixed assets systems.
  • Other assigned tasks, as required.
  • Expected Results of Principal Responsibilities:
  • Ensure smooth operation of agency-wide purchasing system; ensures users have necessary training and resources.
  • Maximize PO system return on investment and enhances user experience by promoting new features and reporting tools.
  • Administer purchasing controls and prevent fraud.
  • Increase efficiency, reduce late fees and penalties by monitoring vendor payments as necessary.
  • Minimize agency’s exposure by ensuring on-time and accurate invoice processing.
  • Ensure that programs are adhering to agency’s policies and procedures.
  • Minimize audit exposure by ensuring accuracy of fixed asset records.
  • Policies are updated and accurate.
  • Work Environment:
    While performing the duties of the job, the employee will be in an office environment performing administrative work.
    Physical Demands:
    While performing the duties of the job, the employee is regularly required to have visual acuity, talk, and hear while communicating with peers and/or vendors. This position is sedentary and requires sitting for long periods. The employee must occasionally lift and/or move items up to 20 pounds.
