Essential Duties and Responsibilities include the following. Other duties may be assigned.


Using D365, Excel, and other software to:


Post Financial Transactions


Receive and record vouchers, payments, inventory, production items etc.


Producing a variety of reports for finance, production, supply chain and engineering.


Verify accuracy in reports, figures, postings, projects.


Reconciling various GL accounts and reporting any discrepancies found.


Partnering with the Department of Transportation (DOT) to:


Monitor and track expiration date of FMCSA required medical cards for qualified DOT drivers.


Obtain trip permits as needed.


Coordinate registrations for trucks/trailers.


Obtain/file/distribute insurance cards.


Location and Tracking of Mobile Fueling Equipment


Supporting AP by filing/scanning/attaching documents as needed


Accounts Receivable billing of sales orders and projects - prepares billings for approval.


Follow-up with customers for payment status; making notes in D365.


Set up new projects with budgets. Retains records of contracts, billing, payments, expense and hours charged.


Enter and Post weekly project hours from Project Timecards.


Postproduction Hours allocations daily.


End production orders after sending to Production Manager for approval.


Manage external systems required by customers.


Complete requests and document New Customer, New Vendor, New Station set ups.


Prepare journal entries - assist department.


Gather data for project reporting at month end.


Gather data for cost explanations at month end.


Gather information for audit requests to support Finance Director.


Assist in entering inventory count sheets as needed.


Back up for receiving transactions, quotes, new parts creation in D365.


Monitor system for clean-up - new part set up correctly, open purchase orders, open sales orders, open production orders.


Order Office Supplies.


Other duties as assigned.

Education and/or Experience


Two to three years related experience, and/or training or equivalent combination of education and experience.


Language Skills


Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to communicate effectively with customers and employees of organization.


Mathematical Skills


Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.


Reasoning Ability


Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.


Computer Skills


To perform this job successfully, an individual should have proficiency in Microsoft Office applications and existing knowledge, or the ability to quickly learn D365 (Microsoft Dynamics).


Certificates, Licenses, Registrations


Valid driver license required.
