The Need

After almost 25 years of continued growth and operational success in pioneering the work of protecting those who are experiencing poverty from violence, IJM has become a $100+ million organization with 1,200 global employees. In this Coordinator role, you will have the opportunity to support IJM’s Global Talent Acquisition team in hiring top talent to take on the critical work of seeking justice for those living in poverty. The right person for this position should be energized by connecting people to opportunities within IJM and eager to take on a highly detailed position as part of a driven team.

This position is based at IJM Headquarters in the Washington, DC area and reports to the Director, Global Talent Acquisition. Remote work may be considered.

Responsibilities

Maintain best-in-class candidate experience


  • Facilitate all aspects of candidate in-office and virtual interviews including booking travel and lodging arrangements, scheduling video conferencing, coordinating with multiple departments to accommodate interview schedules and debriefs, assembling interviewer and welcome packets, and ensuring smooth day-of transitions;


  • Track candidate expenses and submit payment request forms, as needed;


  • Manage the Recruiting calendar and email account and respond to all career-related inquiries and interests via email and phone in a timely fashion;


  • Research strategic conferences, job fairs, and forums for having a recruiting presence, and help coordinate plans for recruitment at local events;


  • Run and populate various reports to track the team’s progress throughout the year;


  • Meet in-person with constituents interested in IJM careers and provide tours, as needed; and


  • Host and present to groups on IJM’s work and career opportunities.


               

Coordinate tools to effectively develop a global talent pipeline


  • Connect IJM staff to resources needed to effectively screen, select, and hire top talent through consolidating, organizing and maintaining a SharePoint recruiting resource library;


  • Manage contractor process, database, and details by liaising with the business, legal, finance and technical teams;


  • Maintain organization of positions in IJM’s Applicant Tracking System (Workday); liaise with Workday analysts on system incidents and enhancements;



  • Track monthly and quarterly department goals and actuals by reporting on team statistics, including: time-to-fill, number of applications, candidates screened, positions filled, etc.; and


  • Run additional reports and provide statistics on hiring to the Chief People Officer and Executive Office staff, as needed.


Provide support to the Global Talent Acquisition team


  • Manage all new job requisition requests and send weekly Requisition Report to Recruiters;


  • Edit job descriptions and provide content suggestions to Recruiters;


  • Create interview assessment forms and regularly update other recruiting materials to ensure information is current and consistent with IJM branding standards;


  • Post jobs to IJM’s careers pages, as well as editing, posting and updating open positions;


  • Coordinate with hiring managers to schedule interviews, debriefs and intake meetings;


  • Collaborate with the Human Resources (HR) Coordinator to ensure smooth processes between Recruiting and the HR team;


  • Support the HR Coordinator and Recruiters with onboarding new hires;


  • Create and edit content for external talent brand sites and consistently update the sites to reflect current information and opportunities;


  • Help compile and prepare materials for meetings, trainings, and conferences;


  • Track and help manage the Talent Acquisition team’s annual budget and monitor team expenses using Adaptive Insights; and


  • Complete monthly expense reports.


Requirements:


  • Bachelor’s degree (or equivalent experience);


  • At least one year of experience providing administrative support in a fast-paced, professional environment;


  • Demonstrated strong working knowledge of Microsoft Office Programs;


  • Superior ability to manage a large number of tasks simultaneously and proven ability to consistently meet deadlines with excellence;


  • High attention to detail;


  • Exceptional ability in written and oral communications; and


  • Demonstrated ability to earn and maintain trust with regard to confidential and sensitive information.
