JOB SUMMARY:


Reporting directly to two Sr. Vice Presidents, the Executive Assistant provides executive support in a one-on-one working relationship. The Executive Assistant serves as the primary point of contact for internal and external constituencies on all matters pertaining to the Office of the Sr. Vice Presidents.  The ideal individual will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities. The Executive Assistant will have the ability to work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion.


DUTIES/RESPONSIBILITIES:



  • Completes a broad variety of administrative tasks for the Sr. Vice Presidents including: managing an extremely active calendar of appointments; completing expense reports; composing and preparing correspondence that is sometimes confidential; arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings.

  • Plans, coordinates and ensures the Sr. Vice Presidents' schedule is followed and respected. Provides "gatekeeper" and "gateway" role, creating win-win situations for direct access to the Sr. Vice Presidents' time and office. Produces information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics.

  • Conserves executive's time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating telecommunications.

  • Maintains executive's appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel.

  • Welcomes guests and customers by greeting them, in person or on the telephone; answering or directing inquiries.

  • Maintains customer confidence and protects operations by keeping information confidential.

  • Completes projects as an individual and by assigning work to clerical staff; following up on results.

  • Provides administrative support for professional as well as private matters.

  • Provides historical reference by developing and utilizing filing and retrieval systems; recording meeting discussions.

  • Maintains professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks; participating in professional societies.

  • Contributes to team effort by accomplishing related results as needed.

  • Experience using standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines.

  • Experience using Microsoft Suite and Adobe Reader are required.

SUPERVISORY RESPONSIBILITIES:

EDUCATION AND EXPERIENCE:



  • Bachelor’s Degree in Business, Communication or related discipline or equivalent education and experience;

  • Two - four (2-4) years of progressive work experience; preferably in leadership support role

WORK ENVIRONMENT:


Work will be conducted in the corporate office located in Reston, VA. Estimated travel will be around 5-10%.


PHYSICAL REQUIREMENTS:


While performing the duties of this job, the employee is regularly required to talk or hear. This is largely a sedentary role.
