Summary:The Sr. Clerk provides clerical support to the maintenance department:Duties and Responsibilities:May include, but are not limited to, the following:Coordinate maintenance employees' timesheets and attendance information.
Tracking maintenance employees' vacation and request.
Create, update and maintain hardcopy equipment record files and technical books.
Create, update and maintain pressure vessel files.
Create, update and maintain relief valve files.
Assist in creating new equipment in SAP/Meridium.
Assist in creating and updating equipment Bill Of Materials in SAP.
Maintain Reliability Group project database.
Review all open Management of Changes for reliability group and help get them closed out.
Enter information into SAP for maintenance repair jobs.
Track maintenance/reliability procedure reviews and make sure they are reviewed before the review dates.
Track all maintenance/reliability service agreements and notify personnel when they are 90 day from being needing rewritten.
Manage Reliability time database and send accounting time for each month.
Keep Maintenance/Reliability website up to date.
Manage the fleet Preventative Maintenance and quarterly cost report.
Update call-out list information as needed.
Assist in compiling Reliability Group and Maintenance monthly reports and Key Performance Indicator (KPI) metrics.
Keep all KPI graphs updated on the poster boards each month.
Assist in documenting equipment failures in SAP.
Distribute new/updated drawings, equipment manuals to supervisors for the Maintenance Department.
Take minutes of meetings, type and distribute minutes to appropriate personnel.
Review service contractor data and verify work is completed. Enter receipts.
Expected to develop a high level of expertise on Vendor Invoice Management (VIM) processes, coordinate problem solving for VIM issues with Purchasing, requisitioners, and Accounts Payable, and monitor slow moving VIM items.
Resolve any questions on invoices and purchase orders.
Design reports and database in Access.
Design forms in Excel and Word.
Perform other services and assistance as required.

Minimum Qualifications:The successful candidate, who receives the job offer, must present proof they are fully vaccinated or are in the process of becoming fully vaccinated against COVID 19 as a condition of employment prior to their start date.
High school diploma or the equivalent is required.
Computer and office equipment experience is required.
Minimum five years clerical experience (or three years of clerical experience plus a two year degree in a related field).
One or more years of college desired.
Experience in Microsoft Word and Excel is required.
Experience in SAP is desired.
Experience in Microsoft Access and Powerpoint is desired.

Physical Demands:This job is performed mainly in control room or office setting; physical presence is required. While performing the duties of this job, the employee is frequently required to sit, stand, walk; have full use and range of motion of arms, hands and fingers to reach, grasp, hold, push or pull, twist, and work with tools; and talk or hear. The employee is occasionally required to perform tasks that may require bending, stooping, kneeling, and crouching. The employee must be able to move safely over uneven terrain or in confined spaces. The employee must regularly lift and/or move up to 10 pounds, frequently lift and/or move up to 15 pounds, and occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus. The employee must be able to see details of objects that are more/less than a few feet away; see differences between colors, shades and brightness and determine the distance between objects. This job requires response to audible emergency alarms inside of the plant. Employee must be able to evacuate when required.Work Environment:The employee must be able to work in a normal factory environment. The noise level in the work environment is usually moderate as normally based in an office. Some of the work may be required in the maintenance shop, which can require usage of required PPE including safety glasses, hearing protection, flame retardant clothing, etc. May also result in exposure to outside elements and will require usage of stairs and elevators. Travel including air travel or auto travel may occasionally be required.
