Pennsylvania American Water is looking for an Administrative Support Person to join our profesional team in Scranton,Pennsylvania.

This person will perform administrative, accounting, reporting, clerical and other duties in supporting of the various service delivering functions throughout the state.




Primary Role



Performs administrative, accounting, reporting, clerical and other duties in support of the various service delivery functions.





Key Accountabilities





  • Monitor information received on fax machine, distribute and or dispatch emergencies; Should be familiar with territory, and supervisors and complaint truck areas.

  • Dispatch calls by phone or radio and be able to look up and dispatch distribution intersection sketch information to field crews.

  • Respond to General Delivery Mailbox and take a variety of customer inquires by phone and office visit.

  • Various office duties including ordering and maintaining supplies, filing various records, typing memos.

  • Prepare items for daily US Mail and UPS shipping pickups and distribute incoming mail.

  • Process and copy contractor invoices, mail originals and file by work order for record.

  • Pave cut card system and inventory issues of material, purchase order system (cross training).

  • Compiling System Delivery information.

  • Work order input, tracking and completion.

  • Prepare cost analysis for work orders, task, investment and retirements (M&J) work orders.

  • Process developer new service applications including, creation of premises in ORCOM, main extension deposit agreements process, refunds and Easements.

  • Tracking fire hydrant inventory, fire hydrant flushing databases and agreements also calling hydrants in and out of service.

  • Physical inventory administration.

  • Pepare Blanket investment reports.

  • Stock E & C.

  • Process miscellaneous invoices and Contractor billing invoices.

  • Process disbursement requests.

  • Maintain, disburse and reconcile petty cash.

  • Utility orders including cell phones.

  • Prepare Backhoe clearing report.

  • Process Purchase order creation and Purchase order receipt.

  • Research PUC complaints.

  • Vehicle administration including fleet updates, insurance forms, mileage reports.




Additional Key Accountabilities




  • Coordinates and maintains drawings, records and field service orders related to customer service files. (10%)

  • Coordinates the maintenance of reports, maps, charts and records related to the construction of facilities. (10%)

  • Coordinates the preparation and completion of task orders in accordance with the policies and procedures of the Company. (10%)

  • Assists with the internal and external coordinating and scheduling  various operational tasks. (10%)

  • Administers process for purchasing and/or receipt materials, and provides support related to the procurement of such materials within the

  • Maintenance, Environmental Management & Compliance, Engineering, Human Resources, Network and Production centers. (10%)

  • Preparation and distribution of bids and standard contract documents for local construction projects and maintenance agreements and insurance certificates. (10%)

  • Provides support and tracking for municipal pave cuts,the preparation of municipal, highway and street excavation permits.

  • Calls state and local authorities for emergency permits.

  • Coordinates customer notifications and provides field inspection support for the cross connection control program.

  • Assists with the coordination of local operational meetings and maintains the associated records, logs and databases.

  • Assists with generation of customer service reports and queries from ORCOM system.

  • Notify municipalities of dig sites and road closings / openings and record the same.

  • Notify Communication Centers of road closings / openings, hydrants in / out of service and record the same.




Additional Key Accountabilities




  • Notify critical customers during emergencies.

  • Notify the Alton Call and Wilkes Barre Field Resource Centers through AS400 of distribution activities i.e., mains that are out of service, blow-off openings, location of tankers, or other activities that may

  • prompt a customer call.

  • Request, dispatch, and log "Call before you DIG" requests for our dig sites, and third party dig sites; Dispatch priority, short notice, and emergency one call request; Call in no facilities responses to PA One

  • Call CARL system.

  • Processing customer payments received locally, make daily bank deposits and get change for tellers.

  • Utility contacts for projects.

  • Residual waste program cost monitoring.

  • Completion of DEP reports.

  • Any other duties needed to support Service Delivery in Eastern PA,

  • Western PA, Virginia and Maryland. (40%)

  • Track meter inventory and retirements.

  • Non-pay sewer shut off orders.

  • PSD deposits and processing.

  • MSL system-meter reading file transfers, upload and download of handhelds and running reports.

  • Field service order creation.

  • Maintain Emergency Response Plans and Tariff.




Knowledge/Skills




  • General knowledge of water utility distribution, field services and/or production operations.

  • General knowledge of accounting and business practices.

  • General knowledge of water utility construction practices.




Experience/Education




  • High School Graduate or equivalent with two years experience in water utility operations, engineering, construction or related discipline.

  • Two years experience in utility operations, engineering, construction or related discipline or administrative support of aforementioned disciplines.
