Job Summary


Under the direction of the Manager of Transition Projects, the Front Office Administrative Coordinator provides reception and general administrative support to our Federal campus office. This roles serves as the first impression of Goodwill of Colorado to internal and external stakeholders both in person and over the phone.


QUALIFICATIONS:


Education: High school diploma or equivalent required.


Experience: Minimum two (2d) years working in a position involving contact with the public and working with a multi-line phone system. Administrative or Reception experience preferred. 


Other: Strong interpersonal and written and verbal communication skills. Good working knowledge of general computer applications including but not limited to MS Word, Excel, and Outlook required. MS Teams experience preferred. 


The Front Office Administrative Coordinator must be extremely dependable, arriving to work at the required time daily and rarely being absent. The incumbent must dress within acceptable guidelines, maintain a neat and clean workspace, be courteous, and personable. He/she must maintain confidentiality when dealing with sensitive issues. The incumbent will remain calm and polite in all situations, following accepted guidelines. The incumbent must be able to multi-task while handling phone and office traffic.


KEY RESPONSIBILITY AREAS:


RECEPTION:


• Acts as the first point of contact for all callers and visitors to the Federal campus.


• Answers incoming calls on a multi-line phone system in a friendly, courteous, and timely manner. Answers questions and directs calls to appropriate person or department.


• Answers questions regarding job openings and customer’s questions regarding general information as well as referrals to various other departments.


• Greets visitors in a friendly and courteous manner and ensures that visitors sign-in and are escorted by employees.


• Processes and distributes all incoming and out-going U.S. Mail, FedEx, UPS, Prime, etc. 


• Maintains safe and clean reception area.


• Provides training to employees/volunteers as backups for the front desk as needed.


COVID-19 PROTOCOL:  


• Assists the Risk Team with weekly recording of company-wide COVID-19 forms.


• Follow-ups with all managers for additional information as needed.


• Takes the temperature of north campus employees and visitors, asks the COVID-19 health questions, and completes the Daily Log Form as mandates require.


ACCOUNTING/FINANCE:


• Provides support to the CFO and the Manager of Transition Projects.


• Provides invoice processing support to Real Estate, Project Management, Special Projects, and Facilities departments. May assist other departments as requested. This includes but is not limited to obtaining approval and determine coding for initial input into invoicing system, entering invoices into invoice system, completing purchase orders process, and new vendor setup.


• Assists with bank deposit preparation. Scans check deposit information to accounting and marketing.


• Assists with employee expense or payroll check pick-up and distribution as needed. Verifies employee identity by checking photo ID. 


• Logs returned or undeliverable checks and gives to Payroll.


• Provides accounting with reports of available funds on the postage machine and provides a meter report of mail postage usage by departments.


• Updates and distributes Sale-Ops Management Contact Information sheet. 


REAL ESTATE:


• Assists the CFO and real estate team with maintenance of real estate files and architectural plans/site drawings for properties.


• Maintains hard copy and electronic documentation of current and historical properties.


• Distributes updated property information and documents to appropriate internal staff and external stakeholders.


• Maintains and distributes master properties/real estate spreadsheet.


• Prepares ad-hoc real estate spreadsheets as requested.


• Responds to requests for property information, file documents and plans.


• Maintains up to date information of landlord and property manager contacts.


• Maintains hard copy and electronic documentation for any Federal based projects.


• Serve as the liaison with Goodwill’s insurance carrier to:


o Respond to requests and provide insurance certificates for north real estate properties.


o Maintain and file current insurance certificates in master insurance database.


o Assist with management of master insurance files.


GENERAL:


• Orders office supplies and FedEx mailing supplies for the Federal location as requested.


• Maintains beverage services for the Executive office.


• Assists with special projects as requested by the CFO or members of leadership.


• Safeguards and controls confidential and highly restricted information.


• Uses effective written and verbal communication. Uses good interpersonal skills treating everyone with dignity and respect. Immediately advises supervisor of significant and unexpected problems. Promotes and demonstrates teamwork and cooperation.


• Maintains a professional, positive attitude and always interacts appropriately.


• Performs other duties as assigned.


 


Minimum Pay: $16 per hour, DOE


Schedule: Monday through Friday 8am - 4pm
