Responsibilities

We currently have a great opportunity available for a Contract Analyst II. The Analyst II, Contract will review and process sales contracts; ensure supporting documentation is received and complete, update internal systems, follow up with customers and sales for missing documents/information and assist in onboarding customers after installations on billing and ordering procedures.

Essential Duties and Responsibilities:

    Review incoming complex sales packages from Sales Support/HSAMs for accuracy and completeness prior to initiating the order to cash process in SAP. Follow up with sales, credit department, and sales services for any missing documentation. Ensure SAP database has accurate and complete information pertaining to sales contracts. Scan all pertinent contract documents into SAP for use by other teams.
  1. Invoice customers in SAP once installation confirmation is received. Ensure SAP transactions are fully closed once invoicing is completed. Set up and activate contract billing plans where applicable and provide customer onboarding information for invoicing and information pertaining to ordering reagent/control product and provide internal support for field sales regarding contracts and invoicing and assist with rebate and promotional processing.

  2. Ability to effectively read and execute Federal Government contracts including Department of Defense, Veterans Affairs, and Indian Health Services. Align billing to accommodate the specialized requirements of the Government systems such as WAWF and Tungsten as well as ensure the contract is setup to mirror the Award.

  3. Manage the invoicing process including creating proforma invoices and then reconciling the actual invoices with payment and issue credit memos as necessary for billing accuracy. In addition, working with sales, collections and the customer to resolve invoice disputes to expedite payment.

  4. Work with Sales Support, One Voice, Finance, Customer Service, and Sales to alert them to pending contracts requiring special handling and processing. Manage various types of contracts throughout contract life cycle. Review customer's portfolio of contracts and manage termination process with other teams. Update SAP contracts and invoicing details to reflect new contract where applicable.

  5. Ability to calculate contracted payment rates using multiple inputs of data to validate profitability of contract offerings. Prepare various analyses pertaining to groups of contracts or instruments, including a tracker of missing documentation and data issues.

  6. Assist with follow up and make outbound calls to customers for monthly test counts (where required) and update internal systems to ensure accurate and timely invoicing. Collaborate with IT on automation modifications/enhancement ideas and document requests for customer billing needs, and perform user acceptance testing.

  7. Validate customer contracts and associated documents to ensure that the financials are properly documented, corporate Levels of Authority are followed for any outlier documents, and provide feedback to sales and sales support teams for changes required to meet standards of policies. Work in various customer web portals, ie Wide Area Workflow and IPPS, to ensure prompt payment.

  8. Cross train and serve as back-up for other Contract Analysts.

  9. Other duties and projects as may be assigned.

Percentage of Travel: Less than 10%

Physical Demands: Light physical effort. Routine handling of objects up to 20 pounds; prolonged (at least 50% of time) sitting, standing, keyboard or CRT work. May require periods of moderate discomfort due to noise, dust, lighting and/or other conditions.

Qualifications



    • Bachelor's degree or 3-5 years required experience in contracts, including experience in the Armed Forces.

    • 3 - 5 years revelant experience.

    • Proficient in English.

    • MS Office, SAP skills.

    • Strong internal and external communication skills.

    • Strong people management and leadership skills.

    • Organization skills, including flexibility, thoroughness, accuracy, and care in handling details. Collaborative skills, including strong communication ability, willingness and ability to work well with others, ability to influence others. Good analytical skills.

    • Additional hours may be required to complete month-end processing.
