Job Description:

The Fitch Group HR Service Center team is responsible for providing seemless, centralised transactional support for all Fitch Group companies across EMEA, North America and APAC.

The HR Service Centre currently comprises eight HR Coordinators based in the United Kingdom, the United States and Singapore, reporting to the UK-based Global HR Services Manager. Working across multiple jurisdictions, the HR Coordinators have exposure to global policies and procedures and interact with all levels of the business and HR, up to and including senior management.

Through the HR Service Center, our aim is to provide the HR Service Center team with the structure to develop a career in HR, whether as an HR COE Specialist or HR Advisor.

Senior HR Coordinators are key in the day to day function and ongoing development of the HR Service Center. In addition to carrying out transactional HR work, Senior HR Coordinators ensure that local processes run smoothly, that HRSC colleagues in the region have a local go to point for questions and support/coaching and also act as an escalation point for issues and critical or confidential cases within the region. The Senior HR Coordinator act as an SME in their region, using this knowledge to coach more junior members of the team, mitigate risk in our daily work and also when reviewing processes. The US Senior HR Coordinator role will also play a key role in bringing our LATAM based employees into the HR Service Center model.

Key responsibilities:


  • Management of transactional HR work using the HRSC Case Management System
  • End-to-end management of onboarding cases (in particular senior/critical and HR hires) from creating offer letters, flagging work permit requirements to the HRA/HRBP, managing Fitch's screening processes, liaising with internal stakeholders such as compliance, hiring managers and HR, through to day one.
  • Ensuring local legal requirements are adhered to such as issuing pay notices, e-Verify and I-9
  • Local oversight of regional background screening process including signing off of minor background screening discrepancies for HR Coordinators in line with the policy and flagging more serious issues to the Global HR Services Manager
  • Creating and updating data in our HRIS and reviewing/approving data changes submitted by other team members using the HRSC (Employee Central) 'Maker-Checker' process. Senior HR Coordinators are responsible for maintaining HR employee data.
  • Manging inbound international transfers from end to end, including the offboarding process in their existing location, issuing paperwork, updating Employee Central and ensuring HRA/HRBP is aware of any visa requirements
  • End-to-end management of leaver cases including providing guidance to managers on the process, updating Employee Central, notifying stakeholders e.g. payroll, benefits.
  • Supporting the Global HR Services Manager in dealing with volumes by ensuring cases are picked up in a timely manner through taking on new cases or working with colleagues to assign out work or share work across the team
  • Working with local HRBPs, Global HR Services Manager and Legal to maintain local document templates such as offer letters, terms and condition changes
  • Act as an key point of contact for HR Business Partners to flag questions, urgent/complex cases and issues
  • Proactively Investigate and trouble shoot procedural issues/errors and provide analysis to the Global HR Services Manager, providing suggestions on process improvements or training gaps in the team
  • Proactively coaching more junior team members through complex cases and acting as a point of contact for queries
  • Support ongoing HR transformation activities e.g. process redesign, system testing
  • Dealing with overdue mandatory training process and escalating issues to HRBPs
  • Responding to queries from employees, line manager and HR
  • Ad hoc project/HR support e.g. for large seasonal HR projects or employee relations issues

Skills and experience

The ideal candidate for this role will have at least 2-3 years' experience of managing HR transactions such as onboarding and must also be able to demonstrate a genuine interest in developing a career within HR. Due to the global nature of the team and expansion into LATAM, experience of working in an international organisation and fluent business Spanish or Portuguese are preferred but not essential. The following skills and experience are also required:


  • Experience of working to tight deadlines and managing a complex and busy workload, including proactively managing expectations of stakeholders
  • Experience of coaching more junior team members e.g. through training new colleagues on processes
  • Experience of managing data using HR or other data management systems and being responsible for data accuracy
  • Excellent verbal and written communication and able to confidently communicate with people at all levels of seniority
  • Strong analytical and problem solving skills
  • Experience with handling confidential and sensitive data
  • Experience of working as part of a team
  • Highly proficient in MS Office
  • Fluency in English
