Program Summary:

Volunteers of America is a federal and stated funded comprehensive early childhood education program with a focus on child development that includes a child’s cognitive, physical and social emotional growth and development. The program fosters Family Engagement in all areas of a child’s development and provides comprehensive resources to low income families in the areas of health, nutrition and community resources.

Position Summary:

Under the supervision of the Center Coordinator, the Office Assistant I will be responsible for receptionist and clerical functions for the State Preschool Program.

Essential Duties and Responsibilities:


  • Ensures continuity of care for children and parents by reporting to work on time and maintaining consistent attendance.

  • Greet all parents and visitors to the Preschool/Early Head Start Center ensuring that proper documentation and identification is procured.

  • Maintain daily attendance records of children enrolled in the Center-based program.

  • Answer all phone calls directing them to the correct recipient.

  • Distribute all incoming and outgoing mail.

  • Computer entry of necessary forms, tracking information and word processing as it relates to Center-based enrollment.

  • Maintain a well organized and clean work environment and ensures the organization of office supplies and equipment.

  • Assist with additional activities as appropriate and necessary.

  • Communicates with all staff, parents, and visitors in a positive, courteous, helpful, and encouraging manner in all situations.

  • Supports State preschool & Early Head Start mission, philosophies, values and goals to co-workers, parents and the community.

  • Assist in maintaining supplies.

  • Assist in preparation for Community events and Socializations.

  • Strives for continuous professional growth by participating in self-assessment and annual performance reviews, continuing education, attending appropriate work related trainings, and workshops asking for feedback on work performance, and reading job-related materials.

  • Attends staff meetings.

  • Maintains parent, child, staff, and program confidentiality at all times.

  • Other duties as assigned.

Required Credentials, Abilities and Experience:


  • A high school diploma plus college units in clerical training.

  • Ability to type 45 words per minute and competency in business English.

  • Demonstrated knowledge of phone etiquette and professional phone demeanor.

  • Ability to successfully pass fingerprints and criminal investigation screening.

  • Must meet have valid driver’s license and must meet insurance guidelines established by the Corporation.

  • CPR/First Aid certified.

  • Ability to obtain a TB test and health screening and meet all pre-hiring requirements as defined in Title 22 and contract.

  • Must have ability to read, write and speak in English. Bilingual in Spanish required.

  • Must have the ability to read, comprehend, give and follow instructions.

  • Must have knowledge of Title 22 & Title 5 Licensing regulations, Head Start Performance Standards, and the Head Start Act.

  • Must be computer literate and have experience with Microsoft Office.
