Job Description:

Provides administrative staff support to a university executive. Organizes and coordinates activities of the unit.

  • Drafts correspondence, memoranda, speeches, position papers, program/grant proposals and other written documentation.
  • Assists in organizing activities of the unit, such as retreats, staff development, committee appointments, internship programs, awards ceremonies, etc.
  • Serves on committees and task forces as a representative of the unit.
  • Responds to information requests from internal and external agencies and offices and conducts research to assist in policy and program development.
  • May collect information, and write and edit newsletter or news bulletins for the unit.
  • Participates in special projects and prepares a variety of statistical reports as needed.
  • Performs other job-related duties as assigned.

    This position will be housed in the HEALTH Research Institute but will also support the NIH/NIMHD funded Research Centers in Minority Institutions (RCMI) U54: HEALTH Center for Addictions Research and Cancer Prevention ( as well as the Helping Everyone Achieve A Lifetime of Health Future Addiction and Scientist Training (HEALTH-FAST) initiative ( The RCMI is advancing strategies for addressing health disparities in undeserved communities by translating scientific breakthroughs into culturally-informed and community-centered dissemination and implementation strategies.

    We are looking for an employee with a demonstrated record of (1) the ability to manage multiple calendars and schedule appointments, (2) meeting arrangement, agenda preparation, and the recording of detailed minutes, (3) management of department inventory, (4) implementation of organizational standards to enhance productivity and operational efficiency, (5) the ability to be point of contact for a range of staff and external stakeholders, and (6) a commitment to health-equity science. A strong candidate would work well with a diverse team in the execution of research being supported by a national center in addictions and cancer prevention. Necessary qualifications for success in this position are strong organizational and planning skills, excellent time management skills and the ability to prioritize work, meticulous attention to detail in written work, proficiency in MS Office, Microsoft Excel, and Adobe Acrobat, and excellent written and verbal communication skills.


    Bachelors and 3 years experience

    Requires a thorough understanding of both theoretical and practical aspects of an analytical, technical or professional discipline; or the basic knowledge of more than one professional discipline. Knowledge of the discipline is normally obtained through a formal, directly job-related 4 year degree from a college or university or an equivalent in-depth specialized training program that is directly related to the type of work being performed.Requires a minimum of three (3) years of directly job-related experience.
