Section 1: Position Summary

The Retirement Plan Coordinator supports the Operations Department in coordinating and completing day-to-day, cyclical and operational duties of the team. This includes assisting Senior Plan Consultants in various administrative tasks, including but not limited to client calls, project tracking, written correspondence, etc. As a member of the Support staff, cross train on each other's basic functions to assist during annual cycle peak time.

Section 2: Job Functions, Essential Duties and Responsibilities


  • Back-up team member responsible for the timely onboarding of new plans and loading them in the client database ensuring accuracy of all information.

  • Maintain plan documents on database.

  • Assist Onboarding consultant in reviewing new plan questionnaires and help secure missing information.

  • Maintain client database for easy manipulation between different systems.

  • Assist in system updates necessary for client servicing.

  • Assist/back-up in preparing/compiling e-Welcome Kits in a timely manner, including emailing and saving necessary documents to complete the kit and make sure information on all documents are accurate.

  • Assist Senior Plan consultant in reviewing plan termination SB requests and do follow-ups

  • Assist in EFAST filings during peak cycle

  • Assist in compiling the Annual Report package for both DB and CB departments.

  • Responsible for protecting, securing, and proper handling of all confidential data held by Ascensus to ensure against unauthorized access, improper transmission, and/or unapproved disclosure of information that could result in harm to Ascensus or our clients.

Section 3: Experience, Skills, Knowledge Requirements


  • 2 + years of experience providing administrative support.

  • Bachelor's degree preferred.

  • Advance knowledge of Excel and database applications including formatting and formulas, as well as Microsoft Office

  • Strong attention to detail with high degree of accuracy required.

  • Detail oriented, conscientious, organized

  • Strong interpersonal skills

  • Excellent written and verbal communication skills

  • Ability to work well under pressure with multiple priorities and dealines

  • Works independently.as required
