Position Responsibilities

(under the direction of Regional Marketing Manager and architectural studio leadership)


  • Preparing electronic and printed material for qualifications, proposals, and competitions.

  • Incorporating sub-consultant materials into SOM submissions.

  • Preparing electronic and printed brochures, and other textual and visual promotional material.

  • Creating Google Slide decks for interviews and other internal and external presentations.

  • Working Monday-Friday, 9-5:30 or some other duration depending on deadline needs.

Position Typical Tasks


  • Tracking early leads with the help of Research and creating accounts at various online procurement portals. Notify the team and distribute client documents once available.

  • Creating short summaries of current opportunities and help in the Go/No Go process.

  • Outlining a responsibility matrix for the SOM proposal team. Helping the team to adhere to deadline milestones.

  • Contacting the subconsultant team and requesting materials, including qualifications, scope of work, and fee schedules. Help identify and keep a list of DBE/MBE/WBE firms to meet agency requirements and participate in introductory meetings.

  • Updating and tracking project leads across the sales cycle in Salesforce CRM database (training provided).

  • Completing required forms with the help of the management team, Legal, Accounting, and HR. Making sure all content with legal implications is thoroughly vetted by the Managing Partner and Legal.

  • Working closely with the design team on competitions, creating the deliverable templates and being the keeper of the final files. Assure consistent formatting throughout.

  • For pursuits where SOM is not prime (D-B projects or those with specialized engineering as the lead discipline), putting together quals packages to send to the prime firm.

  • As the Transportation Practice is led out of the NY office, be on-call to help out other offices gather information and format content. Pursuits span the globe, so hours may shift according to the client’s location.

  • Regularly update project pages, brochures, and resumes.

  • Updating text and data for current and past projects in Salesforce.

  • Uploading new photography, renderings, and drawings to OpenAsset (training provided). Alert the full team during the bi-weekly firm-wide Transportation call when new assets are available.

  • Assisting NY marketing colleagues with tasks similar to those above, as needed, and as time permits.

Minimum Qualifications 


  • Bachelor’s degree, especially in a relevant humanities field.

  • Proficiency in Adobe Creative Suite applications, especially InDesign and Acrobat.

  • Ability to learn and use Google Docs, Sheets, and Slides.

  • A good eye for presentation is important.

  • Hard-working, punctual, thorough, capable of both independent and group work.

  • Demonstrates a general interest in and understanding of the built environment.
