Position Summary

Provide proper administrative support to the plant, terminal and sales office locations. Perform human resource, accounting, and payroll duties. Assist with shipping support duties. Administers HR related programs in accordance with the organizations policies. Manages employment related activities including recruiting, employee and labor relations, HRIS data entry and maintenance, various reporting and leave administration. Performs general accounting duties and responsibilities. Use independent judgment in performing daily responsibilities. Work from general company policies and objectives. Refer to supervisor when in need of clarification or interpretation of organizational policy.

Primary Responsibilities


  • Administers company benefits, policies and procedures (salary and wage) in coordination with corporate staff. Assists in compiling any plant specific policies. Prepares and maintains data and reports for accidents, workers compensation and outside agencies. Administers affirmative action plan and promotes diversity at the location.

  • Administers all aspects of the employment process from recruiting to new hire orientation. Ensures that job descriptions are updated annually and provides local and regional salary information to assist management in determining appropriate rates of pay.

  • Assist the Plant Manager in preparing the annual operating budget.

  • Prepare monthly production reports, cost reports, and account reconciliations for corporate management.

  • Performs reconciliation of raw material, work in process and finished goods reports.

  • Follow SOX procedures as outlined by the PCW and maintains proper evidence as required by the PCW.

  • Oversees office operations to insure excellent customer service, government compliance, internal controls, and the general efficient office/plant operations.

  • Purchase and oversee maintenance of office equipment. Authorize the purchase of office supplies.

  • Process wage and salary payroll, including verification of hours worked and account numbers. Verify accuracy of payroll input.

  • Input accounts payable invoices and review and approve for completeness and accuracy.

  • Maintain appropriate records for union/company labor agreements. Oversee second step grievance machinery. Participate in union contract negotiations.

  • Update barge insurance information and maintain barge expense records.

  • Maintain accurate records of plant fixed assets and personal property.

  • Review and approve staff expense reports

  • Prepare and distribute reports and surveys for outside agencies.

  • Create forms and spreadsheets as needed using available computer software programs.

  • As needed, answer incoming phone calls. Transfer calls and relay messages to staff.

  • Perform other tasks and/or duties as assigned by the Plant Manager.

Required Skills & Abilities


  • Knowledge in accounting procedures, strategic planning, human resource functions, payroll processing, employee supervision, and general office practices required.

  • Demonstrated skills in decision making, verbal and written communication, and organization required.

  • Proficiency in operating a computer to store data and generate reports using standard word processing, spreadsheet, and database software programs.

  • Knowledge of manufacturing operations and labor negotiations preferred.

  • Opportunity for some remote work available.

Education


  • Four year college degree (B.S. or B.A. degree) required

Experience


  • Four or more years experience in a similar or related position preferred with some supervisory responsibilities.
