Position Summary:

This role reports to the Chief Compliance Officer and provides crucial logistical and administrative support to Dexcom's growing Corporate Compliance Team. Key duties include coordinating recurring departmental meetings, managing Compliance systems and performing data entry activities, serving as Grants Program Administrator, and assisting in the drafting of Compliance documents and communications. The ideal candidate will be an excellent communicator, detail oriented, adaptable, and thrive in a fast-paced support role.

Essential Duties and Responsibilities:


  • General support of Dexcom's Corporate Compliance Team.

  • Logistics support, including meeting, conference call, luncheon, and team building activity setup and logistics; managing executive travel; and ordering supplies.

  • Assist with scheduling, logistics, and management of recurring Global Risk & Integrity/Compliance Department, Compliance Committee/Subcommittee, and Grants Committee meetings. Draft and distribute agenda. Take minutes during meetings, as appropriate.

  • Serve as Grants Program Administrator, managing Dexcom's grants portal, compiling grant requests for review by the Grants Committee, drafting correspondence with grant requestors, and liaising with Dexcom Legal on contracts for approved requests.

  • Manage Compliance systems and perform data entry activities, as directed.

  • In coordination with key stakeholders, draft and manage Corporate Compliance communications, including quarterly newsletters and the Compliance Intranet page.

  • Create high quality documents, spreadsheets, and presentations. Review/edit Compliance documents for consistent formatting and correct grammar, punctuation, and spelling.

  • Support Dexcom document control workflow and approval processes.

  • Manage department files via shared drives and recordkeeping, keeping materials organized and current.

  • Assist with tracking departmental budget and reconcile departmental expenses through purchase orders, invoices, and Concur/corporate credit card statements.

  • Work closely and effectively with team members to keep them well informed of upcoming commitments and responsibilities, anticipating expectations and standards, and proactively following up as necessary.

  • Must maintain strict confidentiality on sensitive issues.

  • Other duties and projects as assigned.

Required Qualifications:


  • Demonstrated ability to utilize technology to enhance, automate, and streamline processes.

  • Advanced skills in Microsoft Office including Word, Excel, PowerPoint, Outlook and Teams.

  • Prior Compliance or Legal Operations experience/duties preferred, but not required.

  • Excellent verbal and written communication skills.

  • Ability to maintain a strong commitment to quality and attention to detail, ensuring that work product is delivered completed, accurately and on time.

  • Quick learner and adaptable to learn new processes, concepts, and skills.

  • Strong interpersonal skills and demonstrated ability to work effectively as part of a team.

  • Must be self-directed, proactive, and motivated.

  • Excellent problem solving and organizational/time management skills.

  • Strong customer focus, work ethic and integrity.

  • Sense of humor.

Functional Description:

  • Provides administrative and clerical support to relieve department managers or staff of administrative details. May coordinate messages, appointments, information to callers, file maintenance, department office supplies and mail. Researches, compiles and proofs word processing assignments. Operates automated office equipment. May be assigned to various functional areas of the company

Functional/Business Knowledge:


  • Moderate understanding of general job aspects and some understanding of the detailed aspects of the job.

  • Applies acquired job and company knowledge of policies and procedures to complete semi-routine tasks.

Scope:


  • Work at this level requires following standardized methods and under immediate supervision on assignments that are semi-routine in nature

  • Follows pre-established guidelines and procedures with minimal choice as to method of performance of the work.

  • Has contact with employees at other levels within the company. Information exchanged is generally noncomplex

Judgement:


  • Normally follows established procedures on routine work, requires instructions only on new assignments.

  • Works under close supervision

Experience and Education Requirements:

  • Typically requires a minimum of 2 - 4 years of related experience and a High School diploma/certificate or equivalent.

Language Skills: Must be able to communicate effectively in English. Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of organization.
