Job Summary


The MMFP Research Program Center Administrative Director will lead all aspects of the financial oversight of the Mitochondrial Medicine Frontier Program (MMFP); participating in strategic business development activities on behalf of the MMFP Executive Director; and serve as the primary administrative liaison between MMFP and Internal CHOP Offices, including Research Finance, Research Business Management, Hospital Finance, Accounting, Clinical Research, Human Resources, Technology Transfer, Contracts, Sponsored Projects, Development, Marketing, Media, National Relations, Global Medicine, and Frontier Program oversight. The Mitochondrial Medicine Research Program Administrative Director will work closely with the MMFP Executive Director to cultivate and strengthen relationships with key internal stakeholders at CHOP, as well as key external partners, collaborators, donors, corporate sponsors, and clients of MMFP, on local, national, and international levels. They will participate in scientific program outreach, communication, and establishment of new collaborative partnerships, including administrative oversight with appropriate CHOP offices to assure timely and effective completion of program negotiation and implementation.

Major responsibilities will involve administrative, budgetary, and financial oversight of MMFP including: determining budgetary framework and future programmatic growth of the Center, with an emphasis on fiscal benchmarking from internal and external funding sources and performance monitoring as it relates to ensuring that commitments dovetail with MMFP strategic goals and overall objectives. Responsibilities also include assessments involving research projects, including identification and management of grant and contract opportunities, multicenter studies, and translational research activities; budget preparation, revision, and reconciliation process; process improvement; tracking of timelines and preparation and submission of project updates and sponsor reports; and post-award project budget oversight including recruitment and tracking of personnel, supplies, equipment, commitments and invoice payments. The MMFP Research Program Center Administrative Director will develop and utilize appropriate statistical and financial performance measures, produce meaningful reports that enable leadership to make sound operational and strategic decisions; and analyze business trends and provide recommendations to foster the programs' continued success.


Job Summary


The MMFP Research Program Center Administrative Director reports directly to the Executive Director of MMFP and work closely with MMFP leadership including the MMFP Clinical Director and Assistant Clinical Director, MMFP Clinical Program Director, MMFP Administrative Director, MMFP Research Laboratory Director, MMFP Clinical Research Director, MMFP Data Integration Analyst, MMFP Science Writer, Divisional Clinical Business Manager, Divisional Research Business Manager, and liaisons with CHOP and UPENN institutional core facilities, Facilities, Environmental Services, Information Technology Support, Research Compliance, IRB, Laboratory animal facilities, and CRSO. The MMFP Research Program Center Administrative Director has a dotted reporting line relationship with the Vice President for Research Administration and Operations (VPRA) on all administrative aspects of MMFP core operations.


Job Responsibilities


Operations, management and administrative leadership of all internal and external research programs and sponsored project awards within the CHOP MMFP related to Research Laboratory, Clinical Research, and/or Faculty Funding: (40% of the time)


  • Work closely with the MMFP Executive Director to develop, organize, maintain, and manage the infrastructure and resources necessary for supporting a growing center and an expanding faculty base.

  • Develop and maintain up-to-date database of all MMFP external and internal funded programmatic details that relate to MMFP faculty or MMFP core activities.

  • Meet regularly with MMFP Executive Director to discuss strategic, programmatic, and financial program updates. Assist with preparation, analysis, and timely reporting of MMFP programmatic and financial activities to sponsors as well as hospital and research institute leadership.

  • Assist with implementation and oversight of new research programs for investigators within MMFP, including participation in sponsor meetings and discussions regarding new project development.

  • Collaborate with internal and external collaborative investigators on research and clinical programmatic and budget development.

  • Help maintain updated faculty bibliographies and bios, in print form and for Web media, as well as up-to-date program descriptions of resources, equipment, facilities, and IRB and IACUC approvals.

  • Work directly with research business manager, accounting, sponsored project officer, and Tech Transfer office, as appropriate to assure prepared applications are complete, accurate, and have made it through the routing process for all necessary institutional approvals prior to sponsor and institutional deadlines; and that all awards have executed agreements, timely invoicing and payment tracking, in accordance with institutional and sponsor guidelines.

  • Develop and maintain tools, processes, programs, and standard operating procedures (SOPs) designed to support the ongoing conduct of MMFP research and activities, and monitor its success and/or return on investment.


Job Responsibilities


Financial Management/Budgets/Purchasing (40% of the time)


  • Provide oversight of the financial management of all sponsored grants and contracts in compliance with hospital policies, project deliverables and funder regulations.

  • Strong grounding in finance to oversee and improve profit/loss performance and develop strategies and make recommendations that improve profitability with a balanced focus on both revenue and expense

  • Communicate complex financial information to Executive Director and Senior Leadership.

  • Analyze financial data, develops, and implements strategies for performance improvement.

  • Work with Divisional Research Business Manager and MMFP Administrative Director to manage all research and administrative budgets including all large programs and grants, track and monitor appropriate commitments and transactions, and reconcile personnel effort across different grant mechanisms.

  • Oversees research and clinical trials financials, as well as new diagnostic test development and implementation tracking, within the MMFP.


Job Responsibilities


Business Development (10% of the time)


  • Collaborate with the Director of MMFP and MMFP leadership to seek out new, innovative research collaborations and grant funding opportunities from federal, foundation, corporate, and philanthropic partners.

  • Work collaboratively and responsively with the Director to support an engaged, effective MMFP family advisory council advisory board and support fundraising initiatives while engaging with all current and future individual and corporate donors.

  • Participate in programmatic discussions with potential and ongoing partners to recruit and maintain corporate collaborations and partnerships, and pursue new ventures relevant to the MMFP mission.

Programmatic Internal and External Communication (10% of the time)


  • Ensure seamless, efficient, and transparent processes for all MMFP-based research administration and assist with optimization of MMFP research infrastructure.

  • Communicate verbally and in writing with sponsors and/or other parties involved in MMFP research and support to ensure adherence to programmatic guidelines.

  • Provide executive presence to regularly present to and interface with senior leaders throughout the organization.

  • Superior written and oral communication skills to analyze and present key data to diverse audiences at all levels of the organization.


  • Collaborate with outside investigators, contractors, and consultants involved in MMFP Research

  • Encourage and create opportunities for MMFP staff to attend/present at regional, national, and international conferences and meetings. Administrative oversight of MMFP reputation and outreach to wider scientific and medical community.


Required Education and Experience


Required Education: Bachelor's degree

Required Experience:


  • Ten (10) years of experience in clinical research or research administration in an academic and/or industry setting

  • Three (3) years of management or supervisory experience

  • Experience in grant writing and/or grants management and coordination

  • Experience in financial management, including budget preparation and management


Preferred Education, Experience & Cert/Lic


Preferred Education: Master's Degree inFinance, Business Administration, Accounting, or Economics, and Master's and/or Doctorate degree in Scientific and/or Medical field strongly preferred.

Preferred Experience:


  • Five (5) years of management or supervisory experience

  • Experience in financial management, including budget preparation and management. in a hospital/medical school

  • Experience in staff management, supervision and coordination

  • Experience in resource management

  • Experience in project management and coordination

  • Experience in editing, including manuscript preparation, galleys, proofs, etc.

  • Experience with pediatric research
