The Coordinator, Sample Room, is responsible for the daily function of the sample department, including coordination of products, resources and supplies, in addition to preparation of product sample kits and special mailings in support of the organization, including Sales, Product Marketing, Marketing Communications, R&D, Quality, and Customer Sales & Service. This position will co-manage operations in the sample department, including order fulfillment, SAP transactions, inventory management, material handling and reporting. This position also supports the Marketing Services team with the preparation of various trade shows and events as needed.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.
Responsible for sample fulfilment of industrial tape products to the market for trialing and evaluation by existing and potential customers
Execute sample orders in a timely manner through coordination, communication and follow up
Execute daily start up and close out procedures including preparation for pickup from designated carriers
Maintain adequate stock levels for products by type, width and length in all designated categories; maintain spreadsheet with listing of all current products available in sample department for distribution.
Manage product inventory related to the sample department based on active or discontinued status, current packaging requirements, stock rotations and a first-in/first-out processing approach.
Rotate stock, stage materials in assigned locations, and maintain a first-in/first-out approach to ensure organization within the department.
Order and maintain supplies for packaging materials including boxes, labels, void fill and other supplies as needed to process orders; place operational supply orders for cleaning, copy paper and other miscellaneous sundries
Ensure a high-quality standard by inspecting all incoming products from the DC and performing additional quality control checks as a brand steward including product condition, packaging condition (if applicable), labeling and shipping information, most current graphics and displays; reports major discrepancies in inventory to manager
Report product issues to manager and product management team as procedurally required to activate investigation
Solve problems with supply chain and order processing
Coordinate packaging and documentation for materials in preparation for shipment; weigh and load individual shipments into outgoing shipping container for carrier pickup
Maintain accurate and proper records - via computer and standardized forms - to ensure visibility to items coming in and out of the department
Maintain a professional and friendly customer service approach to ensure an exceptional customer experience
Look for and recommend opportunities to improve the efficiency, workflow and management of the Sample Department
Ensure the functionality of all Sample Department equipment and systems, including troubleshooting issues, writing work orders for repairs and notifying management in a timely manner to initiate process for resolution
Assist Marketing Services team with trade show and event execution through fulfillment of show-related sample requests, packing/unpacking duties and staging of materials for shipment; coordination of incoming/outgoing portable tradeshow assets including shipping, tracking and documentation
Order collateral from Print on Demand platform for industrial tradeshows as requested and add to show staging area
Track activities and provide reporting for sample room activities
Work in a safe and careful manner to avoid damage or injury to self or co-workers; maintain compliance with audit and safety requirements
Perform housekeeping duties to keep Sample Department and tradeshow cage clean, organized and functional
Coordinate and assist with special projects as assigned

JOB REQUIREMENTS
Education
High school diploma, GED, or equivalent
Valid NC driver's license; able to travel between local facilities as required
Skills
Able to operate electrical and manual pallet jacks as needed to relocate materials - observing appropriate training guidelines as required
Competent with computer data entry and Microsoft Word and Excel; knowledge of SAP a plus
Resourceful, enthusiastic and exhibits a positive attitude
Strict attention to detail

Minimum of two years work experience

This is a fast-paced work environment with consistent pressure to complete duties as outlined above which requires ability to manage multiple projects at a detailed level and provide support to many internal departments in a fast-changing environment.
