Job Description:

Executive Assistant, Boston Office

Alvarez & Marsal is a leading independent global professional services firm, specializing in providing turnaround management, performance improvement and corporate advisory services. With more than 5,000 professionals based in locations across North America, Europe, Asia, and Latin America, our firm excels in problem solving and value creation.

We are seeking an Executive Assistant (EA) to provide administrative support for the Private Equity Performance Improvement practice. The EA must professionally interact with all internal and external personnel, often at upper and executive-management level.

Responsibilities:

Administrative support to Managing Directors


  • Manage and maintain schedules, appointments, and travel arrangements

  • Calendar management

  • Prepare time and expense reports

  • Prepare and edit correspondence, communications, presentations and other documents

  • Meet and greet clients and other visitors

  • Copy sensitive files, document binding, answering phone, and project specific assistance

  • Conference room scheduling and catering orders

  • Distribute meeting materials

  • Any additional logistics (i.e., lunch reservations, etc.) on a case-by-case basis

Project administration support to Managing Directors


  • Conflict memo and project code creation

  • Monthly project invoicing

Office management support


  • Vendor and subcontractor invoice management and tracking

  • Manage office access key fob log (new hires and separations)

  • Coordinate pick-up and distribution of office mail

  • Work with IT to resolve office technology issues (ex. Copy machine, conference room AV, server, phones, etc.)

Qualifications:


  • Bachelors’ Degree in relevant field of study (degree in business-related field a plus)

  • 5+ years of Executive Administrative Associate or Executive Assistant in a professional services firm, financial services firm or law firm.

  • Proficient with Microsoft Office Suite: Word, Outlook, Excel, and PowerPoint

  • Ability and desire to learn and develop new skills

  • Basic knowledge of accounting and financial principles a plus

  • Excellent oral and written communication skills

  • Impeccable attention to detail and self-review and strong follow-up skills

  • Demonstrates ownership and accuracy of work product

  • Must work efficiently and be able to meet deadlines; strong time management skills; prompt reliable service

  • A self-starter who can multi-task and support multiple people with varied personalities

  • Ability to work independently, as well as on teams, in a fast-paced environment

  • Understands importance of strict confidentiality of internal/personnel affairs/client information

  • Able to interact effectively and professionally with clients and all levels of firm personnel

  • Willingness to be coached / desire and capacity for growth / positive teaming attitude

  • Flexibility to work additional hours as required
