Responsibilities

This position serves as the administrative associate to the department chair at the Department of Earth, Ocean & Atmospheric Science (EOAS), and provides support in a broad range of areas and serves as a liaison to the faculty as well as to the College of Arts & Sciences, the University, the State, and other Professional offices.


Responsible for Faculty Assignment of Responsibility. Assists Chair and Evaluation Committee in faculty evaluation process by organizing evidence of performance
reports. Serves as Primary Faculty Exempt Facet Representative and departmental representative for promotion and tenure, advising faculty and Chair of policies and procedures regarding process. Creates and assembles faculty binders used in promotion process. Maintains FEAS (CV system) used for promotion and tenure as well as
reaccreditation process.


Provides support for new Faculty search committees. Hosts and coordinates travel and schedules for Faculty recruits and others as needed (i.e., Donors, Emeritus, etc.). Serves as the HR Transactional Representative processing all Faculty personnel actions including recruiting, hiring, job opening packets, reappointments, terminations, leaves of absence, and sabbaticals.


Coordinates new Faculty moving contracts. Monitors hiring process to completion. Assists new Faculty with paperwork and maintains all Faculty files.


Handles Faculty communications. Serves as Secretary of EOAS departmental meetings, distributes minutes, and maintains records of all meetings Coordinates Faculty calendars and meeting rooms.


Serves as Time and Labor representative in the absence of HR Department Representative and/or as needed. Assists in the monitoring of all EOAS Time & Leave. Assists in planning EOAS events. Assists with other administrative projects as needed within the EOAS Department.

Qualifications

  • High School diploma/equivalency and three years of experience or a combination of post high school education and experience equal to three years. Note: Higher education can substitute for experience at the equivalent rate.

  • Experience demonstrating effective customer service skills.

  • Basic computer skills and experience with Microsoft Word, Outlook, and Excel.

  • Ability to maintain accurate records and retrieve files from active or archive sources.






Preferred

  • Knowledge of and ability to interpret and apply related federal, state, and local laws, ordinances, rules and regulations.

  • Knowledge of and ability to interpret and apply related University policies and procedures.

Anticipated Salary Range

The anticipated starting salary for this position will be in the high $20,000s to low $30,000s, commensurate with experience. Please refer to Total Rewards for more information on FSU's total compensation package.
