The Assistant Nurse Manager is responsible for assisting the Nurse Manager and Practice Administrator in managing, coordinating and educating multiple members of the care team including, but not limited to Nurses, Medical Assistants (MAs), and Patient Service Representatives (PSRs) regarding best practices, regulatory requirements, and clinical work-flows. Duties include, but are not limited to, mentoring, evaluating, educating, scheduling and, if necessary, counseling the nursing staff. This role also provides educational support for all care team activities.

Responsibilities:


  • In conjunction with the Nurse Manager and the Practice Administrator, assists in applicant screening and selection, orientation, training, supervising, disciplining and support of the staff on the care team.
  • The Assistant Nurse Manager is accountable for incorporating the nursing process into all interactions involving nurses and medical assistants.
  • Serves as a leader, role model and liaison within the care team, directing and supporting the team to provide patient centric care. Acts as the “Nurse Manager” in his/her absence.
  • Works in a clinical capacity, providing back-up when appropriate; triages walk in patients and conducts nursing visits.
  • Understands and supports practice of other team members and refers patients appropriately.
  • Manages and resolves all patient complaints in collaboration with Risk Management.
  • Responsible for all documentation of patient transfers to a higher level of care and calling report to the accepting facility.
  • Serves as a clinical liaison between the call center and the medical office to improve patient access and satisfaction.
  • Participates in the development of new programs within the organization.
  • Supports implementation of programs and procedures developed at an organizational level.
  • Assesses the practice needs to identify gaps in care teams and assists with recruiting and retention efforts as appropriate.
  • Supports nursing staff with educational opportunities and requirements.
  • Schedules orientation and educational programs for newly hired nurses.
  • Responsible for the orientation of new staff to the facility including but not limited to Registered Nurses, Licensed Practical Nurses, Medical Assistants, Laboratory, Mid-Level Providers and Physicians.
  • Collects data and reports to the Nurse Manager for review.
  • Ensures nursing practices of the care team as well as own practices are in accordance with New York State Department of Education nursing standards.
  • Promotes and coordinates care team educational programs at the individual office setting.
  • Assists with the performance evaluations and performance improvement plans of the Nursing Staff within the practice.
  • Prepares literature and equipment for clinical in-services and supports ongoing education within the practice for all clinical staff.
  • Maintains licensure and certification as required and maintains responsibility for own professional development through periodic attendance at ongoing educational events.
  • Responsible for maintaining personnel files for all clinical staff.
  • This includes proof of licensure, continuing education credits, certifications and performance reviews.
  • Interfaces with physicians and all staff members as it relates to the care team process.
  • Assists providers with procedures as needed.
  • Must have the ability to perform the duties that are being supervised.
  • Responsible for surgical coordination and oversight of the specialty suites including but not limited to Endoscopy and Infusion.
  • Conducts monthly staff meetings in conjunction with the Nurse Manager and the Practice Administrator.
  • Assists in the keeping of minutes and attendance. Assist with daily huddles and in-basket messages as necessary addresses delinquencies with appropriate staff.
  • Assists the Case Management team members within the practice as needed.
  • Develops strategies to maintain high levels of wellness with care team members.
  • Responsible for the reporting of any incidents, medication errors or near misses.
  • Maintain a just culture within the practice.
  • Encourage reporting as learning opportunities and share findings/outcomes with staff in a timely manner.
  • Responsible for the inventory reports of medical supplies for the office.
  • Responsible for providing reports to the Nurse Manager on a weekly/monthly basis of items that are required in the space.
  • Responsible for careful management of supplies in an effort to contain costs and continual review of products and their value with Physicians and the Nurse Manager to ensure the ordering is appropriate to the facility.
  • Ensure that equipment faults / maintenance problems are reported promptly to relevant individuals.
  • Evaluates staffing needs and makes recommendations as needed.
  • Works collaboratively with the Practice Administrator to create and maintain schedules, oversee facility maintenance and report any environmental hazards for immediate resolution.
  • Reviews Facility Codes/Disaster plans. Ensures all staff is oriented to fire/emergency procedures.
  • Conducts/facilitates and documents/evaluates drills (fire, disaster, code blue).
  • Ensures that evacuation maps, Pull, Aim, Squeeze and Sweep (PASS) / Rescue, Alarm, Confine, Extinguish (RACE) signs are located and maintained as appropriate.
  • Ensures fire extinguishers are checked annually by outside vendor and monthly by facility.
  • Assists in the hiring and general orientation of staff; provides work direction, assigns schedules, and conducts on-the-job training.
  • Monitors and evaluates performance, and recommends personnel actions, such as promotions, demotions, transfers, and disciplinary actions.
  • Assists in the interpretation of and compliance with Human Resources, Advantage Care Physicians and departmental policies and procedures.
  • Ensures employees understand and comply with local, state, federal and regulatory standards, as they apply to respective job functions.
  • Performs other job-related duties as required.

Qualifications:


  • Associate’s Degree in Nursing required

  • Current New York State Registered Nurse License required

  • Enrollment in a Bachelor of Science in Nursing (BSN) program within 2 years of hire & completion of Bachelor of Science in Nursing (BSN) within 5 years required

  • 2 years’ experience as an Registered Nurse preferred

  • Experience with an Electronic Medical Record (EMR) required

  • Leadership skills required

  • Basic Life Support (BLS) or Advanced Cardiac Life Support (ACLS) required

  • Outpatient ambulatory care experience preferred

  • Previous supervisory or teaching experience preferred
