Central Scheduling Coordinator at Huggins Hospital

Job Description:

Under the immediate supervision of the Director of Patient Access, is responsible for ensuring a positive patient experience while providing a centric scheduling/registration approach for all scheduled services provided at Huggins Hospital. Treat patients in a respectful, confidential and family-friendly manner.
This is a full-time position working 40 hours per week.
Responsibilities
Ensures excellent patient service at all times
1 Provides patient with all necessary information related to the scheduled service
2 Greets patients in a professional, friendly manner
3 Accepts and returns patient calls using appropriate telephone etiquette
4 Ensure the patient's confidentiality is always maintained
5 Complete and process pre-certifications or pre-approvals as necessary according to the patient's insurance
6 Answer the telephone, filing and record retrieval as needed
7 Provide the patient with accepted educational materials related to the exam/appointment
8 Utilizes the Greenway EMR to appropriately document within the patient chart for provider correspondence related to the services provided in orders' tracking
9 Uses the EWS system as intended to indicate patient no-shows, cancellations or completed appointments
10 Appropriately communicates with providers and office, any questions or concerns related to their patient's service
11 Answers telephone promptly and politely while identifying the department and person speaking. Take accurate and concise messages and direct calls to the appropriate staff as needed
12 Confirms all appointments is timely manner
13 Maintains all office machinery, placing service calls when necessary
14 Able to answer basic billing inquiries and directs patient to the appropriate staff to address problems and establish payment plans
15 Maintains a clean/safe office environment. Keeps office neat, clean, organized and free of clutter
Ensuring all aspects of the patient's financial obligations are secured
1 Performs insurance eligibility on all insurances and provides patients with an estimate of out of pocket responsibility for the patient prior to the completion of the scheduled services
2 Facilitates Financial Assistance as needed per patient
3 Calls each patient to verbally verify all demographic and insurance information for all patients
Obtains orders from Huggins Hospital physicians and outside facilities for any service requested to be performed at Huggins Hospital
1 Identifies and obtains all pre-certifications required by managed care payers on scheduled ancillary services
2 Proves Medical Necessity through the patient's insurance company
3 Schedules patient in EWS per department requirements
Responsible for scheduling, interviewing and pre-registering all patients utilizing Huggins Hospital services
1 Entering the appropriate diagnostic testing order, demographics and insurance information into the hospital system to facilitate patient care and hospital billing procedures
2 Ensures the patients flow through the scheduling and registration systems as quickly and efficiently as possible
3 Ensures all fiscal procedures are followed in a consistent manner
Qualifications
Education: Graduate of approved Medical Assistant Program Practice preferred.
Experience: One to two years of experience in the medical field unless successful completion of an accredited Medical Assisting Program
