OU Extended Campus is pleased to announce our search for a Faculty Resource Specialist, focused on faculty recruitment, onboarding, and payroll.

The specialist is responsible for full lifecycle recruiting of faculty, within the College of Professional and Continuing Studies.  In partnership with academic leadership, the specialist will be a primary point of contact for all prospective and newly hired faculty members.  Will be responsible for responding to staff and applicant questions, pre-screening applicants, managing internal and external job postings, and coordination of a robust onboarding program.  Will process and meet monthly payroll deadlines.  This person will be highly organized, customer service oriented, and will play a key role in building foundational relationships with University of Oklahoma faculty.

 Job Duties:


  • Actively recruits faculty in collaboration with lead faculty and program directors. Sources candidates through a variety of channels, including managing postings on the University website, external job boards, and social networks, as appropriate.

  • Helps to identify subject matter expertise gaps, and proactively seeks out candidates to fill positions. 

  • Responds to inquiries.  Serves as a liaison between applicants and Lead Faculty/Program Directors.

  • Pre-screens applicants.  Assesses and interprets faculty credentials, including reviewing professional experience, education, and transcripts, to ensure compliance with Higher Learning Commission accreditation standards.

  • Works to build relationships with prospective applicants, and new hires. Maintains consistent and professional communication, walking applicants through each step of the process.

  • Processes applications and manages applicant database.  Facilitates committee selection process, and candidate follow up.

  • Partners with human resources to help ensure completion of new hire paperwork. 

  • Supports the ongoing development and implementation of a comprehensive onboarding process, for all incoming PACS faculty.  Facilitate new hire training.

  • Maintains internal faculty database, including up to date contact information, resumes, and credentials.

  • Processes monthly payroll for North America/Europe and PACS faculty. 

  • Calculate and maintain records of overload percentages for full-time faculty and teaching staff.

  • Submit interdepartmental cost transfers to Business Operations for processing. Submit invoices for additional payments, as needed.  Track project completions and ensure payments are processed.

  • Provide assistance to faculty to access payroll stubs or other features within the HR system.  Serve as a liaison between the business office and faculty.

  • Other duties as assigned.

Required Education: Bachelor Degree or equivalent combination of education/job-related experience, AND:


  • 0-24 months in recruitment, onboarding, and training, payroll experince  

Skills:


  • Excellent oral and written communication skills, including the ability to speak, read and write clear, concise English

  • High degree of proficiency in Microsoft Office applications, including Excel, Word, and Outlook.

  • Able to communicate well and build rapport quickly with faculty and staff in order to promote effective collaboration

  • Customer service

  • Knowledge of higher education accreditation standards and processes

  • Ability to review and interpret transcripts

  • Familiarity with HR databases and applicant tracking systems

  • Detail-oriented for accuracy of data and information

  • Strong motivation to solve problems

Advertised Physical Requirements:


  • Frequent exposure to pressure caused by deadlines and busy periods;

  • Requires contact with other departments and university officials. 

  • Must be able to pull, push, reach, engage in repetitive motions, grasp, touch, communicate, hear, and see, including color, depth perception and clarity.

Departmental Preferences:


  • Knowledge of / experience in working directly with Higher Ed faculty.

  • Previous experience with the University of Oklahoma's payroll systems, policies, and processes.

  • Proficiency in PeopleSoft HR software
