Your Role
Use your passion for service and attention to detail to help the Gensler team bring designs to life.As a Project Coordinator, you will provide administrative support to a team of industry-leading designers and architects.You're at the heart of your studio's activities and the soul that keeps your studio moving forward.
What You Will Do
Construction documentation/administration phases tasks include file sharing, print coordination, logging RFIs & submittals, QA/QC documents stamping and coordination
Project close-out tasks to include dead filing and punch lists
Assist project directors, managers and other team members with the operational aspects of running the project including but not limited to organizing project and team meetings, staffing, financial tracking, proposal/presentation preparation
Own and organize complete and thorough project documentation including RFI and submittals log maintenance and programming spreadsheets
Tracking calendars, budgets, and expenses
Managing daily communications with internal and external parties
Take ownership of tasks and exhibit a high level of initiative and follow-through and have the ability to maintain a high level of professionalism and discretion regarding confidential and sensitive information
Coordinate seating and setup of new hires with needed equipment, furniture, etc.
Assist with office moves and related cleanup and repairs
Work with office services team to keep break room and office supplies stocked
Respond to staff needs for supplies, equipment, and services
Request items from off-site archive storage facility; send items to off-site archive storage facility; help keep inventory database updated
Assist with other office duties as requested
Experience in an office services team or event planning is helpful
Flexible work schedule is needed to accommodate early or late events, with an occasional weekend
Assist with other office duties as requested including coverage of other coordinators and front desk reception
Your Qualifications
10+ years of experience in an administrative capacity preferably with an architecture or design firm
Bachelor's Degree preferred
Ability to effectively prioritize with strong time management skills in a fast-paced environment
Superior verbal and written communication skills
Highly organized with a strong attention to detail
High level of professionalism and strong sense of urgency
Intermediate to advanced skills in MS Office Suite (Outlook, Excel, Word, PowerPoint)
Proficiency in InDesign, Photoshop, and MS Project preferred
Ability to work with minimal guidance
Flexibility and ability to handle and manage change effectively and efficiently
