The Operations Coordinator - Immigration Coordinator (IC) is responsible for managing the immigration processing of an assigned number of pipeline from USCIS I140 filing to US Embassy appointment until healthcare professional (HP) has received their Green Card. This includes ensuring the HP is communicated with regularly and understands their document requirements and are processed in a timely manner through each step of the process and prepared for their Embassy appointment.

Job tasks

USCIS


  • HP file will be assigned by Immigration Manager. Review hard file and electronic folder and contact HP to introduce yourself and advise HP on filing of I140. Confirm personal details with HP.

  • Enter all tasks in ENTREE with date of activity completed.

  • Document all emails and calls with HP in ENTREE (details sheet).

  • Make an electronic folder for the I140 filing

  • Order USCIS application check.

  • Draft USCIS cover letter, form I140, form ETA9089 and exhibits and have manager review and sign. Save all documents in an electronic folder in BOX. Copy full pack and prepare courier label. Return hard file to cabinet

  • Enter dates and tracking #s in ENTREE (Immigration screen)

  • Enter original and current budget date in ENTREE (Nurse detail screen)

  • Review USCIS report monthly for accuracy of the current budget date and to ensure receipt #s are received and entered. Communicate monthly with HPs to remind them you are their IC. Send requests to USCIS for anyone processing outside the normal processing times at USCIS (>180 days without adjudication - or 14 days for premium processing applications)

  • Once I140 is approved schedule an immigration call (for within 1 week) with HP to review steps and document requirements for Department of State processing and to review personal circumstances (any additional dependents, change of residence...)

NVC


  • Review all NVC emails and saved as pdfs in BOX (welcome letter, fee statement, checklists)

  • Update all NVC information accurately in ENTREE

  • Following immigration call with HP complete an Immigration checklist which confirms # dependents and all documents required for NVC process (including # fees). Share a copy with HP and save a copy in HPs BOX folder.

  • Each week print the I140 approved report and ensure that HPs move seamlessly through the process with no delays. Flag any delays at NVC or by HP. Attend a weekly one on one with Immigration Manager and review "priority" and "urgent" cases.

  • Communicate regularly with assigned pipeline of HPs both by phone and email.

  • Communicate with NVC if there is any delay in steps

  • Document all communications in ENTREE [e.g. USCIS receipt #s, dates and NVC case # and dates of all received requests and submissions.

  • Ensure HP has correct "budget date" in ENTREE and has the correct status. Current budget date should be monitored at each step of process (I140 applied, I140 approval, each submission to NVC and again when placed).

Misc


  • Follow up with HP after arrival if Green Card (GC) hasn't been received and HP requests assistance

  • Courier GC to HP if received after confirming HPs address. Scan a copy of GC to ICE for HPs corporate file. Document which GCs are couriered and tracking # in ENTREE

  • Draft and send notarized support letters and visascreens to HP 30 days prior to their Immigrant Visa (IV) appointment at the US Embassy.

  • Send Social Security Card (SSC) to HP if received in office and scan a copy of HPs SSC to ICE for HPs corporate file. Document which SSCs are received (dependents also) and tracking # in ENTREE

  • Draft "follow to join" letters for HPs whose families are following them to the USA rather than accompanying them to the USA (and to their US Embassy appointment). Letter is similar to the support letter.

  • Update changes in address or phone # in ENTREE and AMIE as advised by HP

  • Update status if HP moves country and ensure Embassy change is made at NVC and change is documented in ENTREE

  • Flag any nurse who is challenging for review by leadership team so the HP can be proactively managed and assessed

  • Willingness to flex to other roles within the Operations team as required and based on the most urgent needs of the business including immigration, credentialing and licensure.

Education, Certifications & Experience

Minimum Education:

  • High school diploma

Preferred Education:

  • Bachelor's degree

Minimum Experience:

  • 12+ months administrative experience in the service industry and/or recruiting experience

Preferred experience:


  • 5 years in an administrative or staffing role

  • Knowledge of the Healthcare Industry
