Senior Associate, Events at JLL

Job Description:

The Senior Associate, Events supports the JLL Events Hub and overall JLL business strategy aligned to meetings & events. The candidate will possess the ability to complete a high volume of tasks with minimal guidance or supervision. React with appropriate level of urgency to projects or tasks that require quick response or turnaround. Key to the position is the ability to be organized, prioritized, and meet deadlines.

Reporting directly to Sr. Manager, Events

Key Responsibilities:

Event management:


  • Ability to independently manage simple to complex event logistics, budget management and communications of internal and external (client-facing) meetings and events

  • Ability to work with multiple stakeholders on events, in multiple locations throughout the U.S.

  • Lead venue research for site selection/Request for Proposal (RFP) process

  • Manage all contracting/negotiations with venues, catering, hotel, AV, and any other event vendors and will obtain JLL legal approval accordingly

  • Create and distribute logistical event communications to attendees

  • Lead all F&B/menu selection, developing themes, decor, transportation, and lodging

  • Conduct expense tracking, budget reconciliation and archiving

  • Coordinate team activities (staff meetings, all-hands meetings, and social events)

  • Develop and distribute event surveys, client follow-up and appropriate archiving of event and meeting related materials

  • Support collection of event metrics, partnering with local markets contact as needed to showcase ROI

Assist Strategic Event Management Program (SEMP) administrator with:


  • Cvent data dashboard & input requirements

  • Other event related technology tools (Workfront, Eloqua, Boomset, SmartSheets, Weebly, SquareSpace)

Provide administrative support to the Events Hub:


  • Invitation list management (RSVP tracking)

  • Venue & vendor invoice management and payment processing

  • Event shipment management

  • Event supply inventory management

  • JLLClientEvents mailbox management

  • National event calendar(s) management

  • Assist with meeting preparations such as organizing/printing handouts, presentations, etc.

  • Event collateral draft, editing & print management (name badges, etc.)

  • Project Code tracking per event

  • Help execute events as part of a team

  • Perform additional job duties, as requested


Qualifications


  • 2 years of administrative support experience in a corporate environment

  • 3+ years in executing the full lifecycle of corporate meeting & event planning

  • Professional demeanor and appearance, treating others with respect and consideration

  • Ability to work independently and take direction

  • Strong prioritization and time management skills

  • Desire to learn new technology platforms (Cvent, SmartSheets, Workfront)

  • Proficient skills in Microsoft Office Suite (Excel, Word, PowerPoint, and Outlook)

  • Detailed oriented

  • Excellent organizational skills

  • Time management - ability to support/plan multiple events concurrently

  • Ability to work as a team player, but also independently

  • Must have excellent verbal and written communications skills

  • Ability to deliver superior results in a fast-paced environment

  • Highly collaborative with strong interpersonal skills and track record of excellent internal and external customer service

  • Professional demeanor that shows integrity, and good judgement


Education


  • BA or BS degree or equivalent experience

  • Certified Meeting Professional (CMP), preferred

Physical Requirements:


  • Must be able to lift boxes and items around 25 pounds

  • Ability to be on your feet for an extended period, when onsite for events

Travel


  • Intermediate travel, up to 25%+

  • Travel to offsite locations, hotels, etc. - may include nights, weekends, etc., could conflict with holidays
