Education and Experience

-A minimum of High School diploma or GED equivalent or higher level of education is required.
-Minimum 5 years relevant staffing/scheduling experience preferred.



KNOWLEDGE, SKILLS AND ABILITIES REQUIRED


KNOWLEDGE OF:
Day-to-day needs of staffing;
- Awareness of unit specific staffing grids
-Demonstrates knowledge of the differences and needs specific units and patient populations
SKILLS:
- Demonstrates computer proficiency in Windows environment; and use of Internet as research tool; Intermediate level skills in Microsoft Word and Excel.
- Demonstrates skills including communication, problem-solving and decision-making.
ABILITY TO:

SUMMARY


Position is responsible for accurate and cost effective staffing and scheduling of all nursing personnel, in collaboration with Directors and Managers. Maintains and coordinates the functioning of the nursing division staffing/scheduling and patient classification system through data collection, entry and analysis. Collaborates with managers, bed managers (occ. supervisors?) and others in maintaining appropriate staffing levels according to acuity. Serves as a resource to all disciplines in the Nursing Division on staffing data and reports. Performs varied secretarial and clerical
duties within established guidelines in support of the centralized Staffing Office.


ROLE RESPONSIBILITIES



  1. Responsible for collaborating with directors, managers, and bed managers, as needed to maintain appropriate staffing levels.
    1. Maintains and updates database and scheduling of all nursing staff
    2. Collaborates with nursing leaders regarding staffing according to acuity.
    3. Implements centralized staffing for various departments, as needed.
    4. Collaborates with nursing leaders to determine low census decisions.
    5. Assigns registry, float pool and Agency personnel to units as needed when available.
    B. Responsible for daily administration of Float Pool and Agency staff.
    1. At the request of Float Pool Educator: helps with coordinating orientation, on-boarding and education classes of float pool
    2. Schedules float pool staff to match requests based on availability, need and competency; obtains needs schedule from corresponding units.
    C. Monitors time and attendance and provides letters related to insufficient activity to meet levels requirement.
    1. Maintains associate files for float pool.
    2. Facilitates scheduling of monthly meetings for the float pool.
    D. Performs data management and support related to patient care and staffing.
    1. Monitors and maintains staffing data base.
    2. Obtains data from diverse electronic sources, compiles and summarizes and provides education for nursing leadership regarding functioning and use of the electronic schedule and upgrades.
    3. Tracks required documentation for data reporting and projects and initiates follow up to ensure receipt of required data and or information.
    4. Coordinates meeting with minimal direction and handles the various requests.
    5. Assures the accuracy of data and reporting for performance improvement initiatives.
    6. Oversees ongoing schedule changes and coordinates those scheduled changes with appropriate departments.
    7. Prints daily staffing sheets used in daily staffing management.
    D. Monitors for the cost effective use of enhancement resources for the nursing division.
    1. Provides reports to nursing leadership regarding future awareness of very low staffing.
    2. Assists in monitoring enhancement contracts, if being offered, throughout the float pool
    3. Responsible for accuracy of time cards for float pool's patient care partners.
    4. Monitors and maintains accuracy of cost center transfers, attendance and tardiness of float pool staff
    E. Responsible for personal and professional growth.
    1. Attends all required in-services, educational programs and staff meetings.
    2. Remains current in latest software technology, upgrades and interfaces.
    3. Acts as a resource for software applications use.
    4. Facilitates and learns changes in the electronic schedule system by remaining current with upgrades and interfaces.

    MULTI --DISCIPLINARY COLLABORATION -- Demonstrates effective communication and collaboration skills with all members of the health care team.

    DOCUMENTATION- Conducts chart reviews and follows-up to ensure ongoing readiness for regulatory purposes. Completes all required documentation in a timely manner, according to Connecticut Children's policies and standards; necessary information is effectively communicated to all members of the health care team. Serves as a role model and provides feedback to clinical staff regarding compliance with department documentation standards.




Position Specific Role Responsibilities


-Collaborates with organizational leaders to manage clinical and non-clinical support staff. Monitors and corrects appropriate cost center transfers.
-Oversight of clinical staff, operational supervisors and staffing coordinator.


SUPERVISORY RESPONSIBILITIES


-Working with Centralized Staffing Office Leadership, inputting and balancing schedule of the Centralized Staffing office employees, related to the organization's needs.
