Job Title: Manager - Virtual Education Production

Division: SkinCeuticals

Reports To: AVP, Digital and Virtual Education

Location: Field Based

Summary: Under the direction of the AVP of Digital & Virtual Education, this position will be responsible for organizing and executing all digital and virtual events/seminars via the respective platforms. This role will also assist in the moderation of participant engagement during virtual events including, but not limited to, virtual seminars, social spotlights, Strategic programs, PRO TALK (services) initiatives and e-commerce digital initiatives. A close eye on post event follow up will also be important, tracking KPI's for virtual events and reporting results to appropriate lead in a timely basis.

Responsibilities:

Production Execution:

  • Coordinate registration process across E-Learning and Virtual Education departments for customer efficiency and ease; provide registration communication to appropriate event leads.
  • Manage drop shipments for all attendee items pre and post event for Virtual Events.
  • Set up events on appropriate platforms; generate links (if applicable); provide links to appropriate leads for calendar implementation.
  • In cooperation with AVP, manage calendar for virtual events ensuring proper details, links and access aligns to specified event; updates on capacity limits and enrollments on predetermined frequency; troubleshoots customer issues.
  • Executes production of meeting on day of event on determined platform; arrives early, manages pre-event engagement as deemed necessary, troubleshoots customer accessibility; assists in chat based on topic, releases any predetermined triggers for customer engagement (i.e. polls, Q&A's, breakout rooms, etc); remains online until last guest leaves.
  • Collects data points on event up to, but not limited to, attendees, engagement measurements, survey questions, polls, etc.
  • Creates monthly dashboard to capture all KPI's for virtual seminars and feedback on how to optimize

Support Materials of Digital and Virtual Education:

  • Manages the relationship between vendors for all collateral; leads the design and production of all virtual seminar kits and support collateral for strategic programs including but not limited to, Master Aesthetician.
  • Collaborate with AVP of Virtual Education on content creation and seminar learning guides provided to our external customers.
  • Collaborate with our digital department to create opportunities to transition into digital platforms, expanding our portfolio to enhance customer experience.

  • Source premium branded swag given during seminars, manage the negotiation and appropriate delivery to our external warehouse while maintaining a healthy inventory assuring that all orders can be processed in a timely manner.

Organization & Logistics:

  • Together with the AVP, identify methods of analytics providing KPI's for all our virtual events and programs allowing us to measure the success of each through surveys, salesforce.com, and/or sourcing new methods of evaluation.
  • Populate and/or gather monthly reports showing identified KPI results to the AVP of virtual education.
  • Work with AVP and in-direct sourcing to establish an appropriate method of documenting seminar and program spends; transitioning to PO payments for tracking purposes. Facilitating the team by creating all necessary purchase orders for Virtual Education.
  • Manage the relationship with our external warehouse vendor for supplies; manage all inventory of product gratis, swag and seminar kits from external warehouse

Technical Education:

  • Assist in all PRO Live/ IG streams as a moderator responding to live questions from customers within predetermined specialty topics.
  • Assist in virtual seminars as a co-facilitator in areas that pertain to customer experience including the new reflection guide created with the AVP of Education.
  • Explore opportunities to bridge field seminars and virtual seminars; potentially coordinating live streams creating a hybrid seminar format allowing for a larger audience reach.
  • Co-host IG Lives with AE/ Educators/ and customer account managers (through relationships created on IG) on topics that include customer service, customer experience, and some product knowledge related topics as deemed appropriate.
  • Offer a bilingual opportunity through Spanish moderating on ProLive/ Instagram Live and co-presenting on social media/co-hosting podcasts to expand our ESL audience reach.
  • Create post event reels including customer feedback testimonial loops in various formats to utilize for analysis, promotion, and insight.
