Responsibilities/Qualifications/Skillset
The primary purpose of your job position is to direct the move-in process and ensure appropriate placement and coordinate move-in documentation in accordance with established policies and procedures as directed by your supervisor. You will be responsible for transitioning new residents from their current living place to Ovation. You will create and follow the Ovation Welcoming Plan for each individual resident. The Move-In Coordinator will follow all new residents for 90 days after moving in to ensure ultimate happiness is achieved and all expectations have been met.
Responsibilities:
Create a move in process for every resident that exceeds their expectations and meets or exceeds the Ovation Brand Goals to be The Industry Leader in Service
Responsible for all move-in paperwork including review of paperwork completed
Maintain detailed files of all move-in paperwork
Make person-to-person calls outside the property to legal and medical professionals, senior organizations, hospital discharge planners and other community contacts
Comply with all state and federal requirements for resident move-ins
Conduct evaluations whenever necessary either independently or in conjunction with an appropriate colleague to ensure appropriate residential location of each potential resident and their individual needs
Alert appropriate department managers and property team of projected move-ins, tours and discharges. Responsible to communicate and to verify that the apartment is ready for the move-in timely
Maintain a close working relationship with the team to assure appropriate and efficient decisions about prospective move-ins
Coordinate appropriate deposit and move-in papers and obtain signatures from residents or responsible parties prior to move-in in a manner consistent with state and federal regulations. Communicate special needs of new residents to staff to ensure an efficient move-in. Communicate move-in decisions in a timely manner
Responsible for pre-authorizations and documentation for all move-ins requiring such paperwork and coordination of collections of pre-pay for residents. Obtain appropriate financial information prior to admission
Maintain and implement weekly move in and stabilization plans for each depositor and resident for 90 days before and after move-in
Monitor and evaluate customer satisfaction
Assist in the development of property marketing materials
Properly document all activities into the appropriate system i.e. Eldermark, Sherpa, or other designated systems
Serve as a member of committees, whose purpose is to enhance resident and community relations, attend CRD meetings and assist in implementation of resulting plans, monitor and track results
Monitor presence and location of sale representatives in the community
Report suspicious persons/information to supervisor immediately
Assist with administrative duties as directed (Includes typing, filing, posting accounts, etc.)
Operate copier, office machines, etc., as directed
Order supplies as directed
Operate computer as directed
Assist department directors in administrative matters (i.e., typing reports, correspondence, etc.)
Agree not to disclose assigned user ID code and password for accessing resident/community information and promptly report suspected or known violations of such disclosure to the Administrator
Agree not to disclose resident's protected health information and promptly report suspected or known violations of such disclosure to the Administrator
Report any known or suspected unauthorized attempt to access the community's information system
Provides campus and area information
All other duties as assigned
Education & Experience:
Must possess, as a minimum, a high school diploma or its equivalent
Experience in working with older adults preferred
Qualifications:
Must be able to read, write, speak, and understand the English language
Must possess the ability to make independent decisions when circumstances warrant such action and to remain calm during emergency situations
Must possess the ability to deal tactfully with personnel, residents, family members, visitors, and the public
Must be knowledgeable of administrative practices, procedures, and guidelines
Must possess a cheerful personality and be able to work harmoniously with other personnel
Must possess the ability to minimize waste of supplies, misuse of equipment, etc.
Must possess the ability to seek out new methods and principles and be willing to incorporate them into existing practices
Must be able to follow written and oral instructions
Must be able to type a minimum of 35 words per minute and operate a word processor
Must be able to effectively use a 10-key calculator
Must have a working knowledge of computers, input/output/retrieval data, etc.
Must not pose a direct threat to the health or safety of other individuals in the workplace
