Job Description:


The Administrative Supervisor is responsible for managing daily payroll entries, accounts payable and revenue entry functions, including training personnel, periodic auditing for accuracy and ensuring timeliness in meeting routine deadlines.

ESSENTIAL FUNCTIONS/KEY ACCOUNTABILITIES:


  • Manage division-wide accounts payable, payroll and revenue entry accounting functions.

  • Full understanding of customer contracts and billing requirements.

  • Audit of accounts payable GL coding.

  • Daily review and audit of revenue data entry for accuracy and completeness into ERP system.

  • Support payroll processing, including daily audit and approval of electronic timecards.

  • Review of Prevailing Wage information for submission to Corporate Payroll.

  • Prepare daily and weekly management reports.

  • Provides training and development of Administrative Coordinators and Administrators, ensuring cross-training coverage.

  • Manages team member workloads and assigns tasks appropriately.

  • Identify opportunities for improving procedures and processes.

  • Act as employee liaison to the corporate office on payroll, benefits, and accounting functions

OTHER RESPONSIBILITIES:


  • Perform other duties as assigned by the Division Admin and/or corporate office personnel

  • Assist with bank and financial audits as needed

SUPERVISORY RESPONSIBILITIES:


  • Directly supervises and oversees five or more office employees

  • Interviewing, hiring, training, coaching and counseling office employees

  • Has authority for the planning, assigning, and directing work

KNOWLEDGE, SKILLS AND ABILITIES:


  • Follow and enforce established Company policies, procedures, and practices.

  • Strong attention to detail and able to handle multiple tasks simultaneously.

  • Ability to handle confidential matters withdiscretion.

  • Excellent command of the language with the ability to communicate effectively, both orally and in writing, with all levels of employees, management, outside vendors and customers.

  • Ability to read and interpret documents such as procedures manuals, safety rules, and operating and maintenance instructions.

  • Strong computer skills including advanced knowledge of Microsoft Office, and the ability to create and edit documents and spreadsheets.

  • Ability to analyze situations, gather appropriate facts and determine appropriate action.

  • Ability to maintain satisfactory working relationships with co-workers, vendors, and the public, and other personnel.

  • Ability to calculate figures and amounts such as bids/proposal totals, discounts, sales tax, and commission

  • Experience with ERP system preferred.

EDUCATION AND EXPERIENCE:


  • Associate degree in Accounting or related field preferred

  • Minimum four years of accounting and office experience

  • Minimum two years of supervisory experience
