Overview:

The Ohio Department of Education’s Information Technology Office is seeking an experienced professional for the role of IT Trainer.  This position is responsible for helping employees at the Department, the majority of whom are not IT focused, grow their proficiency and expertise with the technology products used by the State of Ohio and the Department, including but not limited to Office 365 (e.g. Word, Excel, PowerPoint, Outlook, OneDrive, Teams, SharePoint, OneNote, etc.); state issued equipment (e.g. Windows 10 computers, iPhones, multifunction printers, the state telephone system including Jabber, etc.); virtual private networking (VPN); etc.  The goal of this position is to make the Department more effective and improve employee productivity and job satisfaction through efficient use of technology.  The IT Trainer needs to be a real “people person” that enjoys public speaking, helping and educating others, and has an understanding and genuine interest in the subject matter (end user technology).

 

Major Responsibilities and Duties:

Working under general direction, the IT Trainer will independently manage and fulfill the information technology (IT) training needs of Department of Education employees including identifying appropriate subjects for training, developing training courses, and delivering the training courses.

 

Design and Create IT Training Courses: 


  • Research and identify IT products, technologies, skills, and other topics and subject areas where IT training would provide value to Department employees by consulting with IT managers and subject matter experts, reviewing feedback and requests for training courses, interviewing internal customers, and other methods.

  • Design course curriculum for a technology subject targeted towards a specific audience and/or skill level.  Determine perquisites for a course as needed, e.g. experience, proficiency, or preliminary courses needed to be successful in a course.

  • Group related courses into course “pathways” to help employees progress towards product mastery by guiding them through a series of progressively deeper and more challenging courses.

  • Create course materials that will be used when delivering course instruction, e.g. PowerPoint presentations, scripts to be followed during live product demonstrations, handouts, lab exercise, quizzes, etc.

  • Research latest training information to include in courses using the internet, books, professional journal articles, training platforms provided by the state and/or Department, or other approved resources.  Update course curriculum and materials as needed due to changes in products.

  • Secures feedback and approval on technical material from supervisors and technical subject matter experts to ensure accuracy.

 

Conduct IT Training Classes and Sessions for Agency Employees:


  • Delivers IT training in a traditional classroom (computer lab), online classroom, or workshop setting, or on an individual on-the-job basis.


  • Uses a combination of lecture, presentation, demonstration, group discussion, and interactive or written exercises as appropriate to teaching a subject.

  • Evaluates participant performance to determine course completion and identify individual remedial training needs where necessary.

  • Recognizes class participation and completion, e.g., prepares certificates or awards virtual badges.

  • Conducts and/or participates in “train the trainer” sessions for IT topics

  • Record virtual training sessions for sharing on the Department intranet and/or the state’s learning management system.

 

Plan and coordinate IT Training Classes for Agency Employees: 


  • Coordinates and maintains a schedule of IT training activities, and ensures that IT training opportunities do not conflict with broader agency of office events.

  • Shares information regarding IT training availability, course topics, and registration procedures through agency approved channels such as emails, intranet articles, fliers, agency newsletters, etc.

  • Uses Department approved tools (primarily Office 365 products such as Microsoft Teams, Sharepoint,  Outlook, Bookings, and Forms) to complete administrative duties such as course registration and enrollment, creating and collecting surveys, capturing class rosters, sharing course materials, delivering learning assessments and quizzes, reserving on-site rooms, etc.

 

Maintains records and reports of IT training activities: 


  • Solicit feedback on IT training presentations and content from participants using surveys and evaluations.

  • Summarize and analyze participant and manager feedback to determine effectiveness of an individual training session and of the overall course design.  Modify course design as needed to improve course design.

  • Reports on overall training activities to supervisor and provides data or reports on employee training activities to HR as requested.


  • 3 courses in human resources, education, sociology or psychology or 9 mos. exp. in preparing informational or instructional programs; 9 mos. trg. or 9 mos. exp. in public speaking or effective communication skills.

  • Or equivalent of Minimum Class Qualifications For Employment noted above.

 

Preferred Qualifications:


  • Previous experience building IT based trainings.

  • Previous experience training in Office 365 applications.
