Overview

The Manager of Sponsored Project Administration provides expertise, guidance, and timely and accurate support to internal (business development, operations, finance, technology, etc.) and external stakeholders (sponsors, third party contracted research organizations, etc.) relative to the end-to-end management of the grant and contract administration life cycle. The Manager of Awards Administration independently performs highly complex work, such as managing pre-and post-award grants and contracts; participating in the preparation of various budgets, financial statements, reports, and invoices; and liaising with constituent groups within and outside the Ciox Real World Data. Additional responsibilities include assisting the Vice President, Data Operations and other senior staff with capacity planning given award stage and serving as a trusted member of the management team of Ciox Real World Data.

Responsibilities

Pre-Award Administration

    Identifying Funding Opportunities: Locating funding via search engines such asGrants.gov,Foundation Center, individual funding agency websites, or even Google for Ciox RWD.
  • Salesforce Administration: Ensures all necessary employees have access and are trained on daily use of Salesforce as pertinent to their role. Produces Salesforce reports/dashboards for Senior Leadership.

  • Fair Market Value Rates: Responsible for ensuring Fair Market Value rates area assessed and maximized for inclusion in project-level fee schedules, Ciox's RWD position on most favored nation pricing is evaluated on an on-going basis, etc.

  • Fee Schedule Creation: Work with Ciox RWD business development and finance to develop pricing models that maximize revenue and profit considering personnel time and effort, indirect costs, technology fees, government fees, etc.

  • Form Completion Supporting Vendor Status, Response for Proposals, etc.: Responsible for form completion supporting Preferred Vendor status, detailed project-specific proposal generation, W-9 status, etc.

  • Proposal Submission: Customer dependent responsibility for serving as the point of contact relative to proposal submissions, comment receipt, responses to comments, etc.

  • Contract Administration: Create various contract types for various projects (MSA, SOW, consultants, etc.) and coordinate personnel (business development, legal, finance, etc.) needed to review and negotiate such contracts for Ciox RWD.

  • Compliance: Responsible for ensuringcompliancerequirements (sponsor and project specific) such ashuman subject, responsible conduct of research,financial conflict of interest, and keeping the Division apprised of any upcoming changes are satisfied.

  • Operations Planning: Responsible for optimizing delivery of opportunity statuses to Operations in support of capacity planning.

Post-Award Administration


  • Award/account setup: Ensures all financial tracking processes are setup appropriately relative to time tracking, invoicing, etc. upon receipt of a new project award.

  • Award Modifications: Manages all legal changes to the initial award which do not require a new proposal. Examples are a no-cost extension, change in personnel, scope revision, budget reallocation, etc.

  • Financial compliance monitoring: Ensures expenses charged meet project specific requirements.

  • Monitoring, reporting, and billing: Responsible for the generation and submission of invoices and other systematic-generated reports to the business partner who manages the project-level customer relationship.

  • Project close-out: Filing all the paperwork, internal and external, to close out the project and address items such as unused funds, equipment disposition, intellectual property generation, etc. in accordance with the award document.

Qualifications


  • Direct or indirect management of a sales quota, use of a CRM system or equivalent relative to meeting sales quota, etc. strongly preferred.

  • Demonstrated proficiency in Microsoft Office Suite (Office, Word, Excel, Power Point) required.

  • Demonstrated ability to balance tenacity and diplomacy with ability to interact positively and effectively with colleagues and partners at all levels of an organization, both internally and externally.

  • Demonstrated experience effectively working details and processes as well as within a wide range of business activities including, but not limited to, project management, customer service, finance, business development, marketing, and human resources.

  • Demonstrated track record of establishing trust, credibility, and motivation at all levels with a relentless focus on high quality customer satisfaction.

  • Demonstrated ability to independently generate creative solutions to organizational challenges.

  • Demonstrates an entrepreneurial attitude, leadership, and the ability to team at all levels.

  • Demonstrated knowledge of regulatory requirements such as HIPAA, Human Subjects Research, etc.
