A leading mechanical contracting company and a subsidiary of EMCOR Group, is in search of a highly motivated, multi-tasking Administrative Assistant to support an Executive VP in Operations and the Project Managers in the department. This individual should be an experienced team player who can manage the daily responsibilities with minimal supervision. Excellent organizational, administrative skills and the ability to work in a fast paced environment are necessary requirements for this position.


Responsibilities:



  • Assist the Executive VP with scheduling meetings, travel arrangements, and phone support.

  • Assist the Project Managers with the preparation of change orders and proposals.

  • Manager the process of the department's contracts, purchase orders and change orders for the monthly billing.

  • Interact with customers, Project Managers and follow up with outstanding purchase orders and/or contracts.

  • Assist the Exec. VP to maintain an organized and structured department.


Skills/Qualifications:
Excellent organization and communicationskills,team player, dependable, 5+ years administrative experience (preferably in the construction industry but not required), ability to prioritize work responsibilities and able to work with little supervision, knowledge of MS Office and Excel. Knowledge of AIA and Contract Billing a plus.
