Administrative Assistant at University of Oklahoma

Job Description:

The Administrative Assistant will provide reception and administrative support to the Director of Policy. 

 

Essential Job Duties:


1.    Track and maintain up-to-date records of budget transactions and program budgets.

2.    Support preparation of Word and Excel documents and Power Point presentations.

3.    Manage schedule, travel and related expense reporting. 

4.    Maintain calendar and support scheduling of meetings and other events.

5.    Coordinate logistics for in person and virtual trainings, meetings, orientations, and other events.

6.    Liaise with vendors, internal departments, and external organizations to coordinate activities that are important to the function of the department.

7.    Ensure computer and communication equipment, office supplies and other materials are ordered and managed appropriately. 

8.    Interface with Information Technology and other departments to troubleshoot technical issues as needed.

9.    Communicate effectively via e-mail; set up conference calls and webinars as requested.

10.  Conduct research, including online literature searches and summarize findings as requested

11.   Support data entry and programmatic data tools.

12.   Manage special projects as assigned. 

 

Required Education: Associate's Degree OR an equivalent combination of education/job related experience, AND:



  • 18 - 36 months of administrative work experience

  • Demonstrated meeting and event planning skills



  • Strong writing and computer skills (strong command and demonstrated proficiency in Microsoft Excel, Word, PowerPoint skills and Outlook and can quickly learn and become proficient in using new programs and application, platforms, databases and process flows.)



  • Ability to communicate effectively, orally and in writing.

  • Must be able to stand, engage in repetitive motions, grasp, move, feel, touch, communicate, hear and see, including color depth perception and clarity.

  • 3-5+ years administrative experience
