The Chemical Dependency Professionals Board is seeking an experienced administrative professional to join our team! This position will provide the following support to the board:


  • Respond to questions received regarding certification and/or licensure by phone, email, or in-person.

  • Draft simple correspondence and send to licensees and/or applicants.

  • Review and verify incoming information for licensure, certification, or renewal.

  • Identify problems with applications and follow-up with licensees/applicants as needed to obtain additional information.

  • Determine status & completeness of applications.

  • Ensure compliance with applicable laws, rules, and/or procedures.

  • Assist with board/committee meetings (e.g., take meeting minutes and send reminders for meetings).

  • Enter data into the licensing system.

  • Gather data and prepare reports.

  • Process refunds to licensees and/or applicants.

  • Reconcile licensing revenue.

  • Assist with obtaining bids for office supplies and order supplies.

  • Act as liaison with vendors.

  • Maintain files, sort and route mail, scan paper record documents, and screen calls.

 

Offical position description

Provide administrative assistance through routine tasks (e.g., independently responds to general questions received regarding certification &/or licensure via email, telephone, &/or in-person); processes service requests in eLicense (e.g., name change); compiles data & prepares reports; drafts simple correspondence & sends to licensees &/or applicants (e.g., consent agreements); processes refunds to licensees &/or applicants.

Examines, reviews & verifies incoming information regarding applications for licensure, certification, or renewal; identifies problems, determines status & completeness & contacts applicants &/or licensees regarding submitted materials or to obtain additional information; ensures compliance with applicable laws, rules &/or procedures; determines accuracy, completeness & acceptability; assists with board/committee meetings (e.g., takes meeting minutes & sends reminders for meetings).

Performs other clerical duties (e.g., maintains files, sorts & routes mail, scans paper record documents, answers phones & screens calls); reconciles licensing revenue (e.g., eLicense, CE Broker); assists with obtaining bids for office supplies & orders supplies; acts as liaison with vendors (e.g., Shred-It); performs additional duties as assigned by the Executive Director.

1 yr. trg. or 1 yr. exp. in secretarial science or business office applications.

For positions requiring technical terminology, applicants must also have 6 mos. trg. or 6 mos. exp. in relevant technical terminology.
