Stevens Institute for Artificial Intelligence (SIAI) Operations Manager

Working under the supervision of the Director of the Stevens Institute for Artificial Intelligence (SIAI), the SIAI Operations Manager will work collaboratively with the Director, affiliated faculty, Office of the Dean of the Schaefer School of Engineering and Science, various Stevens academic and administrative offices, and SIAI partners. The SIAI Operations Manager will manage the day-to-day operations of SIAI, which includes implementing and managing the strategic plan for SIAI, maintaining relationships with various offices and departments across campus, and managing the operating budget. The SIAI Operations Manager will also provide assistance to Principal Investigators (PIs), on behalf of SIAI, with grant and grant application and management tasks.

The ideal candidate is a self-starter who has strong attention to detail and processes, has experience in an adaptive and dynamic environment, and is passionate about making a positive impact in their local environment as well as broader society.

Essential Duties and Responsibilities


  • Develop, document, and manage day-to-day processes for all operations in the Stevens Institute for Artificial Intelligence (SIAI). Effectively communicate these processes with appropriate faculty, staff, and administration.

  • Work with the Director and affiliated faculty to develop, document, and implement SIAI’s strategic plan.  Manage schedules and drive progress on the plan.

  • Work with the Director, affiliated faculty, Office of Sponsored Research, and the Office of Corporate Relations to cultivate relationships with various external partners.

  • Develop and maintain relationships with various administrative units at Stevens.

  • Work with the SES Finance Office and manage SIAI operating budgets, including planning and allocation of financial resources and tracking. Manage and process financial and human resource requests using various Stevens systems.

  • Manages the development, review, and submission of Federal, State, and foundation grants and contract applications (proposals) for SIAI, in conjunction with the affiliated Principal Investigator (PI).  Manages timelines and progression of submissions to ensure on-time completion of high-quality, responsive, and compliant proposals.  Supports PIs in responding to Just-in-Time requests.

  • Creates and maintains a database of submitted proposals.  Tracks the status of pending applications and notify PI of review/funding status of applications.

  • Coordinate with the School of Engineering and Science Communications Team to ensure effective marketing of SIAI. Develop and disseminate information through the quarterly e-newsletter and other communications.

  • Plan and organize internal and external meetings and activities.

  • Plan and manage public outreach and publicity efforts for the SIAI, including media, mailings, social networks, etc., in concert with greater Public Relations efforts for Stevens.

Job Qualifications


  • Bachelor’s degree in engineering, science, or business is required.  A Master’s degree is preferred.

  • Minimum experience of 5 years in managing affairs at an academic institution is required. A background in computer science or artificial intelligence is preferred.

  • Experience in a professional setting or startup company related to computer science or artificial intelligence is preferred.

  • Strong project management and leadership skills.

  • Experience with financial management and business process management.

  • Experience managing successful relationships with faculty, industry, and government is preferred.

Knowledge, Skills, and Abilities


  • Ability to work independently in a complex environment.

  • Ability to maintain positive relationships with faculty and administrative staff within the University.

  • Strong project and time management skills and the ability to adapt to changing priorities.

  • Must have high attention to detail, service, and analytical and technical demeanor and mindset.

  • Strong interpersonal skills and a demonstrated ability to work with a diverse university audience.

  • Strong written and oral communication skills.

  • Advanced knowledge of Office software, including Microsoft Office products, especially Excel and PowerPoint, and cloud-based alternatives, like Google Office.

  • Familiarity with and willingness to learn new software tools to meet the job demands, including Calendly, Asana, CRMs, etc.

  • Preferred knowledge of Tableau, Kuali, and Workday.
