HOW YOU WILL DO IT

Purpose Statement: Responsible for providing high level, advanced support to the assigned Executive Plexus Leadership Team (PLT) member(s). Routinely handles and appropriately disseminates details of a highly confidential nature and is required to have in-depth knowledge of the Company's operations, policies and procedures. Facilitates executive-level meetings, conferences and presentations; plans for all aspects of these events. Provides disciplined project support to drive projects to conclusion.

Key Job Accountabilities:


  • Review and compile financial, customer and organizational performance data and develop content to be used in presentations, reports and executive level communications.

  • Coordinates and facilitates executive level events. Creates content for events including presentation materials and agendas as well as managing event logistics.

  • Driven from the vision of the executive(s), provides input and direction to programs and projects specific to the assigned area of responsibility. Uses creativity and problem solving skills to initiate process improvements.

  • Performs extensive project work using independent judgment in selecting methods and techniques for deriving solutions. Responsible for setting deadlines and leading teams to complete projects on-time.

Additional Accountabilities:


  • Interact with a wide variety of internal and external contacts including: employees, customers, suppliers, other members of the PLT, and senior-level managers on behalf of the executive.

  • Organizes and manages the executive's schedule and calendar with little or no input.

  • Prepares meeting agendas and briefings, maintains meeting notes and arranges for implementation of action items.

  • Manage presentations, meetings, and events to provide flawless execution of these activities.

  • Serves as a liaison to the rest of organization for the executive.

  • Composes documents, spreadsheets, and presentations. Analyzes data and compiles reports, typically of a confidential nature.

  • Alleviates executive(s) of routine administrative details, including expense report completion, document management, and workflow scheduling and monitoring.

  • Shares work between other Executive Assistants to ensure timely completion of priorities.

  • Occasional travel may be required to meet the needs of the business (estimated 10%).

  • Additional duties as assigned.

Education/Experience Qualifications:


  • A minimum of a Bachelor's degree in Business, Marketing or Communications is required; a Bachelor's degree is preferred.

  • Two (2) years of related experience is required; Three (3) or more years of related experience is preferred.

An equivalent combination of education and experience sufficient to successfully perform the key job accountabilities may be considered.

  • Ability to anticipate, take initiative, and resolve issues.

  • Customer-focused and service-oriented with the ability to work independently.

  • Ability to improve effectiveness of the team through standardization of processes, prioritization of activities, team project work, and recommendation of process improvements.

  • Mastery of various word processing, spreadsheet, presentation, and database software, as well as various office equipment and technologies.

  • General office equipment and materials.

Work Environment:

  • The work setting should consist of an office environment with suitable lighting, comfortable temperatures, and a low noise level.
