The Executive Administrative Assistant is the administrative and functional point person for corporate, community, and personal matters, and will ensure smooth functioning of activities and processes. In this role, you are the central point of contact and administrative support for an Executive Vice President, and will interact daily with internal and external stakeholders. The position requires significant flexibility in work hours and availability.
More specifically, your responsibilities will include:
Manage multiple projects related to business, community, and personal interests with inter-related activities and relationships
Coordinate calendar, travel, meeting, and schedule arrangements, as well as other PPG executives, employees, board members and customers
Works closely with other team members to assure preparedness for meetings, presentations and other external and internal engagements
Administrative and functional activities include but are not limited to:
Manages appointments
Coordinates various complex travel itineraries (domestic and international) using commercial and corporate airlines
Prepares and sends confidential business correspondence
Maintains business documentation
Handles financial and accounting matters with confidentiality
Carries out responsibilities with professionalism, respect for others, and an exceptional regard for confidentiality.
Other duties as assigned.
10+ years of previous experience providing administrative support at the most senior level of the organization
Manages confidential information with the appropriate sensitivity and discretion
Ability to act independently with little or no supervision
Organization and prioritization skills: must be highly organized with the ability to manage multiple projects with competing demands with a high sense of urgency
Proactive - ability to anticipate needs/next steps before asked; adapts quickly
Judgement - self-directed with sound judgement; trustworthy;
Detail oriented for organizing, scheduling, and presenting information
Exceptional communication skills both written and verbal, as well as interpersonal skills
Desire to work collaboratively and build relationship across the organization, with external stakeholders, the OC and their admins
Advanced knowledge of all office products (Outlook, Teams, Word, Excel, and Powerpoint).
