JOB SUMMARY: Provide administrative support to the CEO such as, sorting mail, screen calls, voice-mails and return calls, organize and maintain hard copy and electronic files, maintain contact information, coordinate office supply and technology needs, coordinate business travel and entertainment needs, prepare certain daily, weekly, monthly and quarterly reports, update and maintain management job aides. Provide assistance with personal needs/errands as requested.
ESSENTIAL DUTIES AND RESPONSIBILITIES Include the following. Other duties may be assigned.
· Managing, Maintaining and Scheduling Calendar Appointments/ Events
· Type memos, letters, e-mail as required by the CEO
· Categorizing various record books, minutes, and construction project records
· Meet and Prepare Agenda/Data before Board/Executive Meetings and Immediately following Board/Executive Meetings, Prepare and release the Minutes/Action/ Reaction Data
· Gathering Data, Assist with the Design and Development of the CEO Presentations/Speeches
· Facilitating details to Upcoming Conventions/ Conferences
· Administering Plans/Actions to Golf Tournaments
· Managing and Organizing Paperwork/ Reports/ Files
· Assist with Press releases as needed
· Maintains Corporate Minutes and records
· Maintains and organizes cleanliness of filing and resources
· Track invoices through approval process and submit to accounts payable.
· Other - Duties and special projects as Assigned by CEO
· Follows the proper flow of communication (means going to the next level of authority as outlined in the Store Operations Communication Guideline).
· Demonstrates a positive attitude when establishing the knowledge of all essential store and office functions to better assist our customers.
· Other duties as assigned by Customer Experience Team Supervisor or EVP of Operations.
