Job Title: Facility Coordinator
Job Summary: The Facility Coordinator is responsible for ensuring overall compliance of Critical Infrastructure and Facility Management work scopes. Identifies missing scope and amends contracts accordingly. Meets with end-user clients to understand their specific requirements and service concerns. Creates resolution action plans and implements plans to completion or resolution. Works with the Facility Manager and assists in strategic objectives. The primary scope is compliance, service levels and exceeding client expectations.
Essential Duties and Responsibilities:
Review of all work scopes to ensure they meet client's standards
Development of a detailed scope audit process including:
o Audit survey
o Audit schedules
o Audit reporting
o Audit resolution plan format
Development of an End-User questionnaire (in person interview) in order to understand customer needs and service gaps
Work with Landlord (LL) to understand all LL provided services
- Create lease abstracts
- Understand scope detail
- Ensure scope compliance
- Create and communication service gaps
- On-Going communication with LL
Creation of an on-going customer survey process
Perform audits in following major areas including:
o Janitorial and Custodial
o Engineering work completed
o Lighting Building inspections (conference rooms, common areas)
o Health and sanitation
Work with CMMS manager to ensure scope is correct in the system and input audit work orders
Work with client suppliers on:
o Work schedules
o Scope compliance
o Scope calibration
o Audit participation
o Improvement plans
o Audit results review
Act as the client representative to:
o Communicate work status
o Discuss major process changes
o Discuss upcoming and on-going projects and evaluate the impact on client space
Ensure Timely Completion of all open work orders
o Create a WO status report by major client user
o Review open WO status report with End-user
o Ensure WO are completed as per service level agreements (SLA's)
o Address late WO
o Work with Operations/ FM leadership to create required KPI and reports
o Review dashboards daily / weekly
o Ensure all KPI's are achieved (PM & WO) completion
B.S. Degree from an Accredited University or graduate of a certified technical school with 5 or more years of relevant experience.
5 to 7 years working in a facility coordinator or customer service capacity.
Licenses and Professional Accreditations - Professional designations could include: FMA, RPA, CFM, CPE, CPMM or similar relevant training or certifications.
OSHA 10 HR or 30 HR card highly preferred.
Ability to read, analyze and interpret general business periodicals, professional journals, technical procedures, or governmental regulations.
Ability to write reports, business correspondence, and procedure manuals.
Must have ability to communicate clearly and respond to questions from groups of managers and clients.
Knowledge and experience with best practices in facility management with focus and enthusiasm for delivery exceptional client experiences in the facility.
