Job Description & Responsibilities

We are seeking a Project Specialist, Sales to join our team in our NYC headquarters. This individual will have a major impact on the overall order acceptance process. This is a dynamic role that works within our Sales, Quality and Production teams. The Project Specialist, Sales will manage our "Closed Won" entries in our CRM, Salesforce.com. The individual will process and audit all incoming orders to ensure the purchase orders are acceptable and ready to process. The Project Specialist, Sales will work with our Quality team to ensure our order tracking is within ISO compliance.

Position Responsibilities


  • Processing Salesforce.com "closed won" entries to include scrubbing invalid sales orders

  • ISO Compliance auditing within overall order acceptance systems

  • Process and audit all incoming customer orders and weekly audit missed sales order opportunities

  • Log purchase orders upon arrival into our orders line and update fields with data as the order goes through acceptance process. Final processing will be required in our ERP System

  • Generate a weekly "un-confirmed" orders log for the sales team

  • Follow up with the sales team for orders on product shipping holds due to missing information from the customer

  • Ensure the customer, on the face of the purchase order, acknowledged Terms and Conditions and End User License Agreement (EULA), as well as all other order acceptance requirements

  • Manage Terms & Conditions database and Order Tracker to ensure the information is always current and accessible

  • Support and assist the ERP Launch team to ensure a successful Go Live effort. After Go Live, will support Order Acceptance via the new ERP System


Job Qualifications & Experience

Minimum Qualifications


  • Bachelor's degree in Business Administration, a similar field or equivalent experience

  • At least 2 years of experience working with the CRM, Salesforce.com

  • At least 2 years of Sales Operations, Business Development or Project Management experience with commercial or government customers

  • Experience working with matrixed sales teams

  • A general understanding of tactical network and communications systems

  • Demonstrated experience managing multiple simultaneous tasks and competing priorities

  • ERP system data entry experience

  • Excellent interpersonal and communication skills

  • Must have a United States security clearance or be able to obtain one


Preferred Qualifications

  • Master's degree in Business Administration, Project Management, or a similar field

  • ERP system entry experience with Infor, Cloud Suite Industrial

  • Program Management certifications (PMP)

  • Demonstrated experience working with the customer base for a United States Department of Defense (DoD) contractor
