Summary

Provides coordination and administrative support to the Talent Center of Excellence, working primarily under the guidance of the Talent Acquisition team, while flexing to include support for Talent Management and Talent Development areas as well. Dynamic fast-paced position supporting a collaborative team on a variety of needs including scheduling, organization and filing, invoice management, managing mailboxes and distribution lists and monthly reporting/ slide deck needs.

Core Responsibilities


  • Supports Talent Acquisition team for all candidate interview scheduling needs including working with Recruiters, Candidates, Interviewers or Executive Assistants and managing calendar invites with appropriate attached documentation. 


  • Supports Talent Acquisition team for any requested candidate travel arrangements (including flights, hotel, rental car, concierge driver service, collecting receipts for expenses, etc.) that may need to be coordinated working closely with recruiters and the candidates to ensure best candidate experience.


  • Under the guidance of Talent Acquisition Managers, assigns new requisitions to recruiters in Workday and schedules intake meetings within the required SLA timeframes.


  • Maintains a system for ensuring timely and accurate expense reporting and invoice processing.


  • Collects, reviews, and files documents electronically in SharePoint, monitoring specific file tracking requirements with regular updates


  • Monitors various electronic mailboxes distributing inquiries or requests for information to necessary parties as required.


  • Pull reports from Workday with ability to do basic manipulation of data in Excel format for members of the Talent COE.   


  • Drafts and prepares Power Point decks for monthly and quarterly needs in Talent COE.  


  • Loads and manages documents in SharePoint, acts as admin to add new teammate users or remove teammates who should no longer have access.


  • Distributes of slides, reports or other documents to necessary parties as requested.


  • Additional ad hoc duties and projects as requested.


Qualifying Experience


  • Bachelor’s Degree required


  • 1-2 years’ experience in a coordinator or other administrative role supporting a corporate team


  • Or any combination of education and experience to meet the above criteria.


Minimum Knowledge, Skills, and Abilities


  • Proficient in Microsoft Office suite including Outlook email and calendar, Excel, Word, PowerPoint, etc.


  • Well organized, detail-oriented


  • Ability to multi-task with great follow up skills and sense of urgency


  • Strong written and verbal communication skills


  • Ability to work independently, be resourceful, and thrive in a fast paced environment


  • Strong time management skills with ability to prioritize
