JOB DESCRIPTION:

The Contract Administrator maintains and is the "gatekeeper" of the contract management database for the account; supports Facilities Managers in bid preparation, scopes of work, KPI's, SLA's, and other exhibits; participates in the negotiation of contracts and amendments with customer or bidders and ensures compliance with Newmark Procurement and Vendor Management policy; supports ongoing vendor performance management reviews

ESSENTIAL DUTIES :


  • Maintains the documents of record for all supplier contracts
  • Assists with the development of contract and service agreements.
  • Ensure contract compliance including auditing, documenting and reporting performance associated with contracts
  • Reviews all contract amendments, renewals and negotiations, alerting facilities team of pending expirations or deadlines in a timely manner
  • Responsible for setting up approved vendors in Newmark financial systems
  • Responsible for interfacing with vendors to acquire necessary insurance certificates & W-9's, etc.
  • Ensures financial controls and business processes are in place relative to bidding. processing, monitoring, analyzing and reporting all expenditures as determined by Newmark policy
  • Tracks and works with FM team to report on costs charged against purchase orders, variances to contract values, etc.
  • Assists with budget development, management, variance reporting and accruals
  • Produces vendor and contract related reports as requested
  • Support generation of monthly Financial and Operations report
  • May perform other duties as assigned

SKILLS , EDUCATION AND EXPERIENCE :

  • A high school diploma is required; Associates Degree is preferred or equivalent experience
  • 2-5 years' experience in facilities contract administration is required
  • PC proficiency in MS Word, MS Excel, MS PowerPoint and web/cloud-based applications including accounting software
  • Strong oral and written communication skills
  • Must be organized and have ability to prioritize and handle multiple projects at one time
