Hilton's Commercial Services organization is comprised of over 4,000 team members driving our sales, revenue management, call center, and analytics functions. These functions are the core of Hilton's "commercial engine" and are key to Hilton's ability to drive profitable growth.

What will I be doing?

As a Special Events Manager, you will be responsible for running both internal Hilton conferences, as well as events listed in the Hilton Customer Engagement Plan. You will work with business partners to understand their objectives, messaging, requirements, budget, and timelines to plan the scope and build the event strategies. The Special Events Manager will recommend initiatives to reach the goals of the event for the business owners' approval.

The types of events include Conferences, Tradeshows, Customer Advisories, Customer Events, Sales Meetings, and Incentive Programs. These events include large conventions of up to 4000 people, Vendor Showcase/Trade Shows with multiple General Sessions, learning tracks, off-site events, and meal functions. It also includes small and exclusive best-in-class experiential events.


  • Ensure objectives of the meeting/event are met. Run events from conception to planning and execution, including participating in the tactical planning process.
  • Develop and update project plan for meetings and events and ensure adherence to it. Lead workstreams as assigned ensuring objectives are met.
  • Manage event budget, track, and report expenditures, pay invoices, and reconcile event billing. This will include monitoring timelines for multiple events, including sponsorship results, payment schedules, and communication deadlines.
  • Align with Hilton Travel and Entertainment (T&E) policy (or Strategic Meetings Management Programs - SMMP policy) for event compliance, including legal, branding, procurement, and financial.
  • Manage all event logistics as needed including housing (room blocks), breakouts, booths/tradeshows, shipping/receiving, staffing, supplies, transportation, sponsors, Audio Visual, amenities, VIP/Executive logistics, speakers, and others as assigned.
  • Handle Event attendee registration by building, updating, and reporting on event websites in Cvent as the need arises.
  • Recommend and lead event technology, mobile app solutions, other engagement technology.
  • Build and execute event communication plan, including hosting pre-event webinars, partner calls, and coordinate plans and updates with the Corporate Communications team. Work with Events Communication Manager when applicable.
  • Develop a plan for sponsorships. Handle and ensure execution as contracted. Work with Hilton Supply Management team where applicable.
  • Source and contract hotel, convention center, DMC, agency partner, transportation, entertainment, speakers, booth vendors, and any other vendor partners as needed. Partner with our Hilton Supply Management team to execute.
  • Guide direction of event creative and branding, maintain relationships with vendors (B2B marketing department and creative agencies), ensuring consistent messaging, branding, and identity across deliverables (events, tradeshow booths, presentation decks, invitations, signage, and more.)
  • Assess and communicate event/meeting potential risks to address as needed.
  • Travel for site selections, pre-planning meetings, and to execute the event.

  • Handle large scale conferences, including Trade Show/Supplier Showcase components
  • Initiate and direct efforts across multiple teams throughout Hilton, including internal and external resources, with the goal of encouraging Hilton's objectives
  • Work with event vendors, including creative agencies, AV companies, DMC companies
  • Experience with executive partners ("C-suite") presentations, partnerships, and encouraging a project in a matrix organization
  • Organized and meets deadlines with attention to detail and process as well as possesses planning skills
  • Analytical skills to solve problems efficiently and creatively while maintaining a high level of flexibility, professionalism, and integrity
  • Ability to learn new skills in different event/meetings related areas

To fulfill this role successfully, you should demonstrate the following minimum qualifications:

  • Six (6) years of meeting planning or Event Manager experience, running all sizes of events including corporate events, conferences, tradeshows, or incentives as a full-time position.
  • Proficient in MS Office, with a high skill set in PowerPoint
  • Willingness to lift and move heavy boxes during tradeshows and events as well as stand for long periods of time
  • Travel up to 50% of the time
