The department of Medicine, division of Endo-Diabetes is actively seeking a full-time Clinical Business Operations Representative. The Clinical Business Operations Representative will work in conjunction and under the supervisor of the Clinical Business Operations Supervisor to facilitate the prompt resolution of problems that arise in daily clinical operations, as these pertain to pre and post patient care specifically prescription refills, medical supply requests and medication prior authorizations. The incumbent on this position will perform all secretarial and receptionist functions necessary for the complete and efficient management of patient prescriptions and medical supply requests. Using the standard greeting and appropriate telephone etiquette, he/she will answer all incoming telephone lines in a timely fashion adhering to divisional and departmental service standards related to telephone access to ensure that patients, referring physicians, and other customers can easily access the department by telephone. He/she will also assist patients in a manner that promotes the perception that the staff is courteous, efficient and interested in their healthcare and will treat all patients with dignity and professionalism.
CORE FUNCTIONS


  • Is responsible for processing prescription refill requests received via UChart, EDI, fax or by telephone request.

  • Is responsible for processing medical supply requests received via UChart, fax, telephone or mail.

  • Is responsible for processing medication prior authorization requests.

  • Is responsible for assisting the department in managing expectations surrounding pre and post patient care

  • Answers patient's telephone calls, correctly processing information, answering questions or solving problems. If necessary, transfers call to an appropriate person or department to assist the patient

  • Accurately records all data and maintains necessary records or files relating to clinical care issues

  • Acquires all materials necessary for the patient visit including medical records and x-rays

  • Answers telephone calls professionally and courteously within five rings introducing the practice as requested by the division

  • Communicates with patients regarding delays in refills and authorizations

  • Answers telephone calls correctly processing all patient information for messages and patient requests. Enters and routes request to appropriate person within UChart

  • Completes physician's orders/requests accurately

  • Is responsible for managing the Uchart Inbasket for medication requests

  • Whether on the phone or in person, treats all patients, co-workers internal customers with dignity and professionalism

  • Maintains professional relationships with all physicians

  • Works to establish and maintain good working relationships with fellow employees

  • Works cooperatively with fellow employees to solve problems and enhance the smooth and efficient flow of the practice

  • Provides coverage for responsibilities of co-workers when assigned or as need arises

  • Follows instructions of and assists supervisory staff as required

  • Develops and promotes the use of effective methods of communicating with physicians, managers, peers, trainees, and staff on a regular basis

  • Maintains an in-depth knowledge of the changing health care environment. Supports and implements programmatic initiatives for care improvement and cost reduction

  • Develops and maintains a thorough understanding of managed care issues as the affect prescriptions and medication prior authorizations.

  • Other duties as assigned.






CORE REQUIREMENTS:



  • High school diploma

  • Three years of relevant work experience preferably in a clinical setting

Knowledge, Skills, and Abilities:

  • Strong conflict management and resolution skills

  • Outstanding interpersonal skills, ability to handle and resolve sensitive human resources issues

  • Outstanding organizational skills are necessary to manage many competing timetables and responsibilities. Ability to delegate and effectively supervise and plan for the timely and successful completion of short- and long-term objectives

  • Excellent verbal and written communication skills to communicate effectively with a large and diverse constituency, including administration, division faculty patients, and support staff. Will communicate information in written, electronic, oral and presentation formats

  • Requires the ability to work independently and to accept responsibility for complex and sensitive decision-making as it relates to the overall flow of the ambulatory practice

  • Interpersonal relationship skills needed to motivate staff and work with leadership, and physicians in a positive and collegial fashion
