Job Description:

GENERAL RESPONSIBILITIES:



  • Perform administrative duties under minimal supervision at the highest proficiency level.

  • Provides direct support to clinical faculty.

  • Ability to problem solve and determine best course of action with little direction.

  • Manages all aspects of patient care for clinical rheumatologists.

  • Work on projects, coordinate work, take initiative using all available resources, follow through on issues when needed, apply knowledge as appropriate with little direction from Manager.

  • Assist with training and orienting staff as needed.

  • Provide cross coverage as needed.

  • Assist with special projects as directed.

  • Follow HIPAA guidelines for the management of patient privacy and confidentiality.

  • Assists the Pharmacy Technician in supporting the Rheumatology practice with patient medication management, monitoring Patient Gateway messages, and primarily facilitating the refill of medications for MD submission

  • Performs all job functions in compliance with applicable federal, state, hospital policies and procedures.

  • Handle confidential information in compliance with HIPAA guidelines.

  • Attend team meeting updates as required and contribute in a positive manner, focusing on constructive processes and quality improvement.

  • Maintain clean and organized work areas.

  • Other duties, as assigned


SPECIFIC RESPONSIBILITIES:



  • Responsible for answering telephone and responding to inquiries made from patients, physicians, nurses, hospital administration, and others. Relays messages, sets up appointments, coordinates clinic appointments with Outlook administrative calendar, arranges travel and meetings. Serves as liaison with patients, colleagues, other hospital departments and administrators, etc.

  • Manages all aspects of patient care including scheduling of clinic appointments, orders specialized testing, manages prescription requests from patients with physician. Scans outside documents for inclusion in patient's record. Drafts letters to patients for physician signature. Processes insurance prior authorizations. Distribute patient notes to appropriate physicians and agencies as necessary.

  • Assists the Pharmacy Technician in supporting the Rheumatology practice with patient medication management, monitoring Patient Gateway messages, and primarily facilitating the refill of medications for MD submission

  • Prepares reimbursements for clinicians as necessary.

  • Participates in phone coverage for other administrative assistants. Participates in practice general office duties.






Qualifications

QUALIFICATIONS:



Level of education required:


  • Minimum of a high school diploma or GBD.

Work experience required:


  • Minimum three years medical office or administrative support experience required.

  • Some additional training in office systems (EPIC) or other post high school education preferred. Associate's Degree or higher level education preferred, but not required.
