ASSISTANT TO DEAN at University of Oklahoma

Job Description:

This position provides professional administrative functions as the assistant to the Graduate College Dean to include schedule maintenance, approve payroll/ personnel forms, and draft correspondence. This position includes duties as the Secretary for the Norman Graduate Council to include review/ edit all course changes, schedule/attend/ take notes at subcommittee meetings, prepare and email monthly Council agenda. This position also serves as the chair of the annual cross-campus Three Minute Thesis Competition for graduate students and chair of the Design a Shelf Contest for graduate students. The position participates in arranging events and meetings with various internal and external entities, along with planning, coordinating, and overseeing special activities or projects. In addition, this position serves as the primary proofreader and editor for college publications, forms, website, internal and external correspondence.

Required Education: Bachelor Degree or equivalent combination of education/job related experience, OR:


  • 48 months of office administration.

Skills:


  • Proficient in Microsoft Office

  • Detail oriented for accuracy of data and information

  • Highly organized and able to handle multiple projects and deadlines

  • Able to communicate well and build rapport quickly with students, faculty and staff

  • Able to produce reports and complete work within deadlines

  • N/A

Advertised Physical Requirements:


  • Ability to communicate including expressing oneself or exchanging information with others, ability to perceive the nature of sounds with or without correction, ability to move, particularly for extended periods of time or distance, ability to engage in repetitive motions and ability to sit for extended time periods.

Departmental Preferences:


  • Previous OU experience.

  • Previous experience managing calendars.
